Overview
We are seeking a detail-oriented, trustworthy, and proactive Part-Time Payroll & HR Benefits Coordinator to support the accurate and timely processing of payroll and administer comprehensive employee benefits programs. This crucial role ensures compliance with all applicable federal and state regulations, maintains confidential employee records, and serves as the primary point of contact for employee inquiries regarding pay and benefits. The ideal candidate must be comfortable working independently in a fast-paced environment.
Key Responsibilities
1. Payroll & Accounting Operations
- Process accurate bi-weekly or semi-monthly payroll for all employees.
- Manage all payroll inputs, including reviewing timesheets, PTO balances, and entering employee changes such as new hires, terminations, salary adjustments, and deductions.
- Utilize QuickBooks for payroll tasks, including adding new employees, processing terminations, and setting up SIMPLE IRA deductions/contributions, as well as company and employee benefits deductions (including Wellness Plan deductions).
- Ensure proper withholding of federal, state, and local taxes, and register in new states for payroll tax withholding as needed.
- Reconcile payroll discrepancies, process journal entries with Finance, and assist with year-end processes including W-2 and 1099 preparation and distribution.
- Perform accounting support tasks, including downloading bank transactions into QuickBooks, categorizing expenses, and obtaining W-9 forms.
- Coordinate billing to audit RingCentral charges and reconcile billings to advisors via Pay Simple.
2. Benefits Administration
- Serve as the main point of contact for all employee benefits inquiries (health, dental, vision, life, disability, 401(k), FSA/HSA, etc.).
- Manage the annual open enrollment process, including communications, system updates, and coordination with providers.
- Process all new hire enrollments, qualifying life event changes, and termination/COBRA notifications.
- Reconcile and submit monthly benefits invoices (e.g., Florida Blue, Colonial, Bay Bridge, disability/life) and Safe Harbor invoices for approval and payment.
- Assist employees with leave of absence requests (FMLA, state leave, personal leave) and coordinate with managers.
3. HR Compliance & Support
- Maintain accurate and confidential employee files, ensuring proper completion and storage of I-9 forms.
- Ensure compliance with all DOL, state, and federal employee regulations.
- Track key employee metrics, including 90-day probation dates, annual performance reviews, and salary adjustment timing.
- Assist with the full recruiting cycle: developing job descriptions and help wanted ads, placing ads online, prescreening resumes, coordinating interviews and lunches, and performing reference and E-verify checks.
- Coordinate annual workers' compensation audits and process any workers comp or unemployment/re-employment claims.
- Assist with ACA reporting, COBRA administration, 401(k) compliance testing, and payroll/benefits audits.
- Provide employee support by responding to pay/benefits questions and assisting managers with employee counseling or improvement plans.
Qualifications
- Proven experience in accurate payroll processing (bi-weekly or semi-monthly).
- Strong working knowledge of benefits administration, including open enrollment and compliance.
- Proficiency with QuickBooks payroll software is required.
- Solid understanding of federal, state, and local payroll tax laws and benefits regulations.
- Experience in administering ACA, COBRA, 401(k), FMLA, and I-9/E-verify compliance.
- Excellent communication skills for responding to employee inquiries and liaising with benefits vendors and carriers.
Time Commitment
- Approximately 20-25 hours per week
