Parts Planning Officer

Role Purpose:

The Parts Planning Officer supports Underground (UG) maintenance plan execution by ensuring the timely availability, correct specification, and accurate system control of maintenance materials and critical spares. The role translates UG maintenance schedules and work orders into parts requirements, coordinates kitting and staging for planned work and shutdowns, and drives disciplined SAP transactions (reservations, goods receipts/issues, returns, and stock transfers) to maintain stock accuracy and traceability. The role also coordinates procurement follow-up and expediting for critical items, monitors consumption and stock-out risks, and provides reliable materials readiness reporting to the Senior UG Maintenance Planner and key stakeholders to reduce parts-related delays, improve asset availability, and control inventory cost.


Key Responsibilities & Duties:

  1. Operational / Technical / Core Duties:

Plans parts demand to enable UG maintenance schedule execution.

  • Reviews weekly and medium-term UG maintenance plans and SAP work orders to identify required materials and lead times.
  • Builds and updates SAP reservations and kitting lists against work orders to confirm parts are allocated before execution.
  • Verifies part numbers, specifications, and approved alternates using OEM manuals and bills of material to ensure fit-for-purpose supply.

Coordinates procurement and expediting to prevent parts-related delays.

  • Raises purchase requisitions and stock transfer requests with correct descriptions, quantities, and required dates aligned to the maintenance plan.
  • Tracks open purchase orders and transfers and expedites critical items with Procurement/Logistics to meet planned start dates.
  • Communicates constraints early and proposes practical alternatives (approved substitutes, repairs, or re-scheduling inputs) to planners and supervisors.

Controls inventory transactions to maintain accurate stock records.

  • Processes goods receipts, issues, returns, and transfers in SAP within agreed timelines to maintain traceable and auditable records.
  • Validates receipts against delivery documentation and inspection requirements and escalates non-conformances for timely resolution.
  • Coordinates cycle counts and reconciles variances with Warehouse/Inventory, documenting root causes and corrective actions.

Prepares and stages maintenance kits to improve job readiness.

  • Picks, labels, and stages parts for shutdowns and major jobs to ensure complete kits are available at the work front on time.
  • Manages returns of unused materials by re-stocking serviceable items and reporting damaged, incorrect, or obsolete parts for action.
  • Monitors shelf-life and storage conditions for sensitive items and initiates replacements to protect asset integrity.

Reports materials performance to support planning and reliability decisions.

  • Produces weekly materials readiness updates covering critical spares coverage, stock-out risks, and open procurement actions.
  • Analyzes consumption trends and abnormal usage and shares insights to support forecasting and reliability investigations.
  • Maintains controlled documentation for kits, reservations, and transactions to support governance and continuous improvement.

2. Health, Safety & Environmental (HSE) / Compliance Duties:

Applies safe materials handling to prevent injuries and damage.

  • Ensures manual handling, lifting, and pallet movement follow site procedures and appropriate PPE requirements.
  • Verifies hazardous substances and controlled items are stored, labelled, and issued in line with SDS requirements and site critical controls.
  • Stops unsafe handling practices and reports hazards and near-misses promptly through approved reporting systems.

Maintains materials governance and traceability for audit compliance.

  • Follows SAP approval workflows and segregation-of-duties requirements for PR, GR, GI, and stock adjustment activities.
  • Retains supporting documents (delivery notes, inspection records, issue/return evidence) in line with document control standards.
  • Supports internal and external audits by providing accurate stock records and transaction evidence within required timelines.

Supports underground access compliance during materials delivery.

  • Coordinates UG deliveries with supervisors to confirm access authorizations and traffic management controls are applied.
  • Ensures kits are packed and transported securely to prevent dropped loads, spills, or contamination in underground areas.

3. Financial / Budget / Asset / Resource Management (if applicable):

Optimizes inventory to control cost and improve service level.

  • Reviews min/max settings, reorder points, and safety stock for critical spares based on lead time, consumption, and risk.
  • Identifies slow-moving and obsolete items and supports disposition plans to reduce tied-up working capital.
  • Supports repair/return and warranty claim processes with suppliers/OEMs by providing evidence and transaction history.

Protects inventory assets to reduce loss and write-offs.

  • Ensures controlled access and secure storage for high-value and controlled spares and applies issue discipline to prevent loss.
  • Investigates repeated variances and shrinkage drivers and implements corrective actions with Warehouse and Security.
  • Verifies preservation and storage practices to prevent deterioration, contamination, or premature scrapping of spares.


Job Requirements:

๐Ÿ”น Education

  • Bachelorโ€™s degree in Supply Chain, Logistics, Business Administration, Mechanical Engineering Technology, or equivalent.

๐Ÿ”น Preferred Certifications / Training

  • SAP MM (Materials Management) user training.
  • Inventory management training (cycle counting, ABC analysis, stock control).
  • Exposure to mining or heavy industry materials planning.
  • Training in safe materials handling and hazardous goods awareness.

๐Ÿ”น Licenses / Permits

  • Valid driving license (mandatory).
  • Forklift/material handling license (preferred).
  • Site authorizations for underground access and controlled stores (as per company requirements).

๐Ÿ”น Work Experience

  • Minimum 3 years in warehouse, materials, or maintenance planning roles (preferably in mining/heavy industry).
  • Experience in:
  • Maintenance work order support (kitting, reservations, parts readiness).
  • SAP or similar ERP/CMMS systems.
  • Underground operations (advantage).

  • Governance, compliance, and audit requirements.
