DOF is a 501(c)(3) organization dedicated to strengthening families, supporting individuals experiencing homelessness, and fostering the development of students pursuing careers in the healthcare industry. Through the DOF Pathway Program, we provide mentoring, academic enrichment, and community‑focused support to selected students with the goal of helping them successfully matriculate into college and, ultimately, medical school. In addition, DOF leads community health screening initiatives and offers meaningful support to foster and adoptive families, further advancing our mission to uplift and empower the communities we serve.
Key Responsibilities:
Program Management
- Review, manage, and evaluate all educational programs to ensure quality, effectiveness, and alignment with organizational goals.
- Oversee programs including pre-medical programs, high school enrichment programs, medical student programs, physician resident programs, clinical skills simulation programs, community outreach initiatives, and mentoring programs.
Coordination and Team Management
- Provide coordination, leadership, and operational support for all DOF activities and teams.
- Collaborate with and support the Needs Assessment Team, Mentoring Team, Coaching and Counseling Team, and MCAT Tutors.
Student Engagement, Monitoring, and Support
- Actively connect with, monitor, guide, and follow up with student mentees to ensure progress toward academic and professional goals.
- Conduct regular check-ins with mentees, mentors, and coaches to assess progress and address challenges.
- Provide individualized guidance, resources, and support to help students remain on track.
- Ensure timely follow-up with students to address concerns and promote sustained success.
Data Collection, Reporting, and Evaluation
- · Organize, collect, and maintain comprehensive records of all ongoing DOF activities.
- · Track needs assessments, process measures, and outcome measures using appropriate data management tools.
- · Ensure accurate documentation and reporting for program evaluation and improvement.
- Program Promotion and Outreach: Promote DOF initiatives across social media, educational institutions, and community spaces.
- Unhoused Support Program: Support programs assisting unhoused individuals by facilitating access to essential resources and services.
- Community Health Screening Programs: Support health screening programs for under-resourced populations and connect participants to services.
- Calendar Management: Schedule and coordinate meetings, events, and travel for the CEO. Maintain organized and up-to-date calendars.
- Reminders & Follow-Ups: Set timely reminders and ensure follow-through on meetings, deadlines, tasks, timely bill payments and deliverables.
- Documentation & Submissions: Prepare, review, and submit applications, reports, and other documentation as needed.
- Administrative Support: Draft emails, manage correspondence, and handle other communication tasks on behalf of the CEO and foundation. Tracking and monitoring policies (insurance, licensures, memberships)
- Task Tracking: Maintain a clear and organized system to track progress on projects, due dates, and action items.
- Accounting: Managing budget spreadsheets, monitoring bookkeeping and tax related documents. (Quickbooks)
- Coordinative Activities: Manage and follow up on relationships related to business, professional, academic, social, contractors, personal and other important connections.
Qualifications:
- Proven experience in an executive assistant or personal assistant role.
- Excellent organizational and time-management skills.
- Strong written and verbal communication skills.
- High level of discretion and professionalism.
- Tech-savvy with proficiency in Google Workspace, Microsoft Office, and online scheduling tools (e.g., Calendly, Trello, Asana).
- Ability to work independently, take initiative, and solve problems efficiently.
- Familiarity with nonprofit operation, healthcare management, and academic institutions is a plus.
