Seattle’s Elite Physical Therapy is a growing outpatient orthopedic clinic in Queen Anne, and we’re looking to add a Front Desk Coordinator to support our expanding team. This role requires prior front desk experience in a medical setting with direct responsibility for insurance verification and patient scheduling. Applicants without this experience will not be considered.
We are a small, patient-centered clinic that prioritizes high-quality care and a smooth, organized experience for every patient. Our clinicians treat one patient per hour, and the front desk plays a key role in keeping the day running efficiently.
This is an important role in the clinic, and we’re looking for someone who is organized, reliable, and able to stay focused in a fast-paced environment. This is not a passive front desk role, and is best suited for someone looking for a long-term position who can operate independently, take ownership of the front desk, and keep the clinic running smoothly without constant direction.
You will be responsible for managing patient flow, maintaining schedule integrity, and communicating clearly with patients regarding scheduling, billing, and insurance.
Responsibilities:
- Manage a high-volume phone line and convert new patient calls into scheduled visits
- Maintain and protect provider schedules (minimize gaps, manage changes efficiently)
- Patient check-in/check-out and confident payment collection at time of service
- Verify insurance benefits using payer portals (Availity or similar) and communicate patient financial responsibility clearly
- Coordinate with billing team regarding insurance, claims, and patient accounts
- Manage referrals, documentation, and incoming records
- Keep the front desk organized and running efficiently throughout the day

Required Qualifications:
- 2+ year experience in a medical, dental front desk role
- Hands-on experience verifying insurance benefits using payer portals (e.g., Availity)
- Experience handling scheduling and high call volume
- Strong communication and problem-solving skills
Preferred (but not required):
- Experience in outpatient physical therapy
- Familiarity with Prompt EMR systems
- Experience coordinating with billing teams

Compensation:
$25–$28/hour depending on experience
