Job Title: Payroll Administrator

Reports To: HR Manager/CFO & COS

Position Summary

The Payroll Administrator is responsible for the accurate and timely distribution of employee compensation while ensuring compliance with tax and labor laws. This role bridges the gap between Human Resources (HR) and Accounting/Finance by managing complex payroll systems, resolving pay discrepancies, and maintaining confidential records.

Essential Duties & Responsibilities

  • Payroll Processing & Accuracy: Perform all aspects of preparing and distributing employee payments, including salary, benefits and tax withholdings and deductions such as garnishments and benefits.
  • Deductions Management: Apply accurate withholdings for federal/state taxes (e.g., FICA, FUTA), insurance premiums, retirement contributions, and wage garnishments.
  • Record Maintenance: Update employee data such as new hires, terminations, bank details, and leave balances (sick time, PTO).
  • Data Verification: Reviewing timesheets, attendance records, and status changes (terminations/hires/leave/salary changes) for accuracy.
  • Compliance and Risk Management: Ensure all payroll activities adhere to local, state and federal labor regulations to avoid legal issues and penalties.
  • Reporting: Run custom reports for weekly payroll account funding and payment distribution to various unions in accordance with collective bargaining agreements. Prepare weekly 401k funding reports. Run and organize monthly custom reports to calculate and prepare quarterly Disability and Paid Family Leave invoices. Run, review and download all payroll/tax quarterly reports from ADP.
  • Reporting & Audits: Generate periodic payroll summaries, and tax filings (W-2s, 1099s) for internal management and external auditors. Complete quarterly worker’s compensation audits and collaborate with HR on all claims and reports.
  • Manage Year End Payroll: Issue annual tax forms, reconcile payroll accounts, and assist with year-end closing.
  • System Maintenance: Manage timekeeping systems, payroll systems and HRIS often using tools like ADP Workforce Now, Yardi, 32BJ ESS.
  • Support & Communication; Resolve employee payroll inquiries/discrepancies. Collaborate with HR and Ownership and provide payroll data for bench marking, salary reviews and cost analysis.
  • Numeric Aptitude: Strong mathematical skills for performing complex calculations and reconciling financial data.
  • Confidentiality: The ability to handle sensitive personal and financial information with high discretion.

Skills & Qualifications

  • Strong proficiency in Excel and payroll software (e.g., ADP Workforce Now, Yardi, 32BJ ESS.
  • High level of accuracy and attention to detail for numerical data.
  • Strong organizational and follow-up skills, ability to prioritize and multitask effectively.
  • Understanding of tax regulations and employment legislation.
  • Typically, 4t years of experience in payroll or finance, often with a degree in accounting or related field.
  • Strong communication and interpersonal skills to interact with employees and HR/Accounting teams.
  • Certification of Payroll Professional (CPP) a plus.
  • Exceptional mathematical, analytical and communication skills with proficiency in payroll software.
  • Familiarity with local unions such as 32BJ, Local 641, Local 74.

Compensation

Salary range: $85,000.00 – $90,000.00annually (commensurate with experience)

Physical Requirements

  • Ability to sit, stand, and use computer equipment for extended periods.

Pay: $85,000.00 - $90,000.00 per year
