Payroll & Benefits Coordinator

About the Role:

The Payroll and Benefits Coordinator supports the accurate and timely administration of payroll and employee benefits programs. This role serves as a key point of contact for employees regarding payroll and benefits inquiries and assists in ensuring compliance with applicable laws, regulations, and company policies. The Payroll and Benefits Coordinator works closely with the Payroll and Benefits Manager to maintain data integrity, improve processes, and to deliver a positive employee experience.

Payroll Administration

  • Assist with the preparation, processing, and reconciliation of payroll on a regular basis (weekly payroll processing).
  • Review payroll data for accuracy, including hours worked, deductions, taxes, expenses, and adjustments.
  • Process payroll changes such as new hires, terminations, pay rate changes, garnishments, and bonuses.
  • Respond to employee payroll questions and resolve discrepancies in a timely manner.
  • Support payroll audits and year-end processes, including W-2 preparation and distribution.
  • Serve as a point of contact for employee questions related to paid time off (PTO), including policy interpretation, balances, accruals, and usage.
  • Serve as a point of contact for employee questions related to the 401(k) plan and assist with enrollments, changes, and issue resolution.

Benefits & Leave Administration

  • Assist with the administration of employee benefits programs, including medical, dental, vision, life, disability, retirement plans, and other voluntary benefits.
  • Process benefit enrollments, changes, and terminations in HRIS and vendor systems.
  • Support open enrollment activities, including employee communications, data entry, and coordination with vendors.
  • Assist with the administration and tracking of employee leave programs, including FMLA and applicable state paid family and medical leave programs.
  • Coordinate leave-related benefits deductions, pay adjustments, and vendor notifications as needed.
  • Serve as a first point of contact for employee questions regarding benefits and leave programs, escalating complex issues as appropriate.

Compliance & Reporting

  • Maintain accurate employee payroll and benefits records in compliance with federal, state, and local regulations.
  • Assist with compliance reporting related to benefits and payroll (e.g., ACA, audits).
  • Stay informed on changes in payroll and benefits laws and regulations and support implementation as directed.

Systems & Process Support

  • Maintain accurate data in HRIS, payroll, and benefits systems.
  • Assist in identifying opportunities for process improvements and increased efficiency.
  • Support special projects and initiatives led by the Payroll and Benefits Manager.

ADDITIONAL RESPONSIBILITIES:

  • Identify, recommend, and implement solutions for interdepartmental and business operations processes
  • Collaborate with cross-functional departments to achieve operational excellence
  • Provide support as back up to Front Desk Associate (answering phones, greeting guests, handling mail)

Qualifications

  • 1–3 years of experience in payroll and/or benefits administration.
  • Experience with multi-state payroll
  • Working knowledge of payroll processes, benefits administration, and applicable employment laws.
  • Familiarity with benefits compliance (ACA, COBRA, ERISA)
  • Strong attention to detail and high level of accuracy
  • Advanced proficiency in Microsoft Excel.
  • Proficiency with HRIS and payroll systems
  • Excellent organizational, communication, and customer service skills.
  • Ability to handle confidential information with discretion.
  • Familiarity with ADP Workforce Now
