Payroll Tax Specialist Temp

SUMMARY:

VSE Aviation completed a legal entity consolidation from four entities into one effective January 1, 2026. We are seeking an experienced payroll tax professional on a temporary basis to lead all state and local tax account closure activities associated with this consolidation, including direct outreach to taxing authorities, final return filings, and internal documentation to support audit readiness.

DUTIES AND RESPONSIBILITIES:

Responsibilities include, but are not limited to:

State & Local Tax Account Closures

Identify and inventory all active state and local withholding, unemployment (SUI/SUTA), and local tax accounts across the four legacy entities being dissolved.
Coordinate directly with state revenue and workforce agencies to initiate account closures, submit final returns, and obtain official closure confirmation letters.
Ensure all required final filings (W-2s, annual reconciliations, final quarterly returns) are completed accurately and on time for each jurisdiction.
Flag any jurisdictions requiring power of attorney or third-party authorization and coordinate completion with internal and external parties.

Finance & Reconciliation

Work with Finance to reconcile any outstanding tax liabilities, overpayments, or pending refunds prior to account closure.
Identify and escalate outstanding notices, assessments, or open audits that must be resolved before accounts can be closed.

Systems & Documentation

Track and document closure status for each state and locality, maintaining a centralized log for stakeholder reporting and leadership visibility.
Deliver a final summary report of all closed accounts with supporting agency correspondence for retention in the audit file.
Other duties as assigned.

MINIMUM REQUIREMENTS:

5+ years of multi-state payroll tax experience, including direct experience with state agency correspondence and account management.
Demonstrated experience with payroll tax account closures, mergers, acquisitions, or entity restructuring scenarios.
Strong knowledge of state withholding, SUI/SUTA, and local tax requirements across multiple jurisdictions.
Familiarity with final return filing requirements and state-specific de-registration and closure procedures.
Experience working within a payroll platform (Paycom, ADP, Ceridian, or similar); Paycom experience is a plus.
High attention to detail with the ability to manage multiple concurrent workstreams across jurisdictions.
Strong written communication skills for agency correspondence and internal stakeholder updates.

PREFRERRED REQUIREMENTS:

CPP (Certified Payroll Professional) designation.
Prior payroll tax experience in the aviation, defense, or government contracting sector.
Familiarity with multi-state employer registration and de-registration processes.
Experience coordinating with third-party payroll tax service providers.

OTHER:

Selected applicant will be subject to a background check and a pre-employment drug screening.
This is a temporary engagement estimated at 3–6 months, working hybrid or fully remote.
