This position will work in the Business Office of the Agency. Responsibilities include payroll processing, employee file keeping, benefit management as well as financial responsibilities including bank reconciliations, and an understanding of general accounting practices.

Payroll Processing (70 %):
SOMHRS – State Hiring System.
Move new hires from SOMHRS into SABHRS Human Resources module.
Enter and verify all payroll information including benefit information, union, retirement, wages, job codes, benefit codes, workgroups, W-4’s, I- 9’s, direct deposit, work task groups and profile ID’s.
SABHRS – State Human Resources module.
Compile, verify, and confirm employees hours worked and time taken on bi-weekly payroll. Checking all timesheets for accuracy. Contacting managers if more information is needed. And making any changes as necessary.
Calculate and enter any payroll expenses.
Update any change information such as position changes and employee pay changes.
Calculates and enters any retroactive pay, longevity pay and termination pay.
Provides new employee orientation to new employees, including meeting one on one with the employees as needed.
Reports new employees to appropriate union.
Withholds Union Dues.
Enters other medical coverage such as AFLAC.
Process payroll stipends for extracurricular activities.
Approves payroll when Business Manager unavailable.
Process employees excess leave to State Sick Leave Fund.
Process Sick Leave grants as needed.
Annually write off any excess non-exempt or exempt comp time.
Benefits (15 %):
Knowledge and understanding of the State of Montana Benefits Plan, assisting employees understand the coverages.
Process FMLA requirements.
Assists staff with Annual Change Process yearly.
Coordinate and calculates summer insurance pre-pays for some staff.
Assist staff with flex spending requests.
Process, maintain and update personnel files, medical files and records retention.
Participates in yearly staff orientation to discuss and review State of Montana benefits.
SABHRS Financial Module (5 %):
Verification and reconciliation of all USB procurement cards.
Student and Club Bank Account Reconciliations.
Other duties (10 %):
Prepares collection reports for the state treasury.
Using Fraxion data base to look up Purchase Orders.
Process all Workers Compensation claims (First Reports of Injuries).
Track all Workers Compensation injuries for inquiries from OSHA.
Gather information and completes the Monthly financial Claims for reimbursement for the Federal School Foods Program. Including applications for free and/or reduced meals.
Involved in audits for the retirement system and the OPI Federal School Foods Program.
Reports monthly wages and prepares reports for TRS and MPERA retirement system.
Other duties as assigned.
