Position Overview

The People & Culture Officer is responsible for providing administrative support to the People & Culture team at ALEC FITOUT. This role focuses on maintaining accurate HR records, coordinating HR processes, supporting workforce planning, and managing routine reporting. With an emphasis on data accuracy and adherence to HR policies, the role will play a key role in ensuring smooth operations within the HR function. Advanced Excel skills are essential for handling data efficiently and generating accurate reports.


Core Job Functions

  • Administrative Support for HR Operations
  • Assist the People & Culture team in day-to-day administrative tasks, including document management, data entry, and file organization.
  • Maintain and update employee records in HR systems, ensuring data accuracy and confidentiality.
  • Coordinate with internal teams to collect and verify HR-related information, such as employee attendance, absenteeism, and timesheets.


Reporting and Data Management

  • Use advanced Excel skills to create and update HR reports on a weekly and monthly basis.
  • Generate and distribute routine reports on workforce metrics, including labor absenteeism, time and attendance, and staffing needs.
  • Support the team by producing quick turnaround reports and ensuring data is organized and accessible.


Employee and Workforce Coordination

  • Maintain schedules for employee releases, assignments, and transfers, ensuring timely communication with relevant teams.
  • Track and highlight staff and labor requirements, shortages, or surpluses to the Operations team for planning purposes.
  • Manage internal transfer and mobilization, including organizing travel and accommodation arrangements as required.
  • Assist with arranging interviews and maintaining candidate tracker across all positions being recruited for ALEC FITOUT.


HR-Related Documentation and Compliance

  • Supp ort the preparation and maintenance of HR documents, including performance records, probation review reminders, and project-related staffing approvals.
  • Ensure that all HR deliverables and documentation are completed and submitted in a timely manner.
  • Serve as a contact point for document requests and inquiries, directing employees to the appropriate resources or personnel as needed.


Basic Employee Engagement Tasks

  • Assi st with routine employee engagement tasks, such as managing birthday and work anniversary calendars.
  • Provide logistical support for employee engagement initiatives, helping to coordinate minor events or recognition efforts across project sites and the head office.


Skills and abilities

  • Adva nced Excel Proficiency: Essential for efficient report generation and data management.
  • Organizational Skills: Strong attention to detail and ability to manage multiple tasks in an administrative capacity.
  • Communication Skills: Clear and professional communication with internal teams and employees.
  • Confidentiality: Ability to handle sensitive employee information with discretion and maintain HR compliance.
  • Education: Bachelor’s degree in Human Resources, Business Administration, or a related field.
  • Experience: Minimum 2 years in an HR or People & Culture role, preferably within a construction or project-based environment.
  • Technical Skills: Advanced Excel skills, familiarity with HRIS, and knowledge of KSA labor laws.
