The People Operations Administrator will report directly to the HR Generalist and provide essential support in employee relations, primarily focusing on recordkeeping, onboarding, and general administrative tasks. This role also works closely with the Operations team to review and reconcile daily field employee time records, ensuring accuracy and addressing any discrepancies. Additionally, the People Operations Administrator will assist in managing vacation and time-off requests for Operations, helping to ensure timely processing and proper documentation.
- Maintain accurate and up-to-date employee records in compliance with California labor laws and company policies.
- Prepare and update essential HR documents, including offer letters, employment contracts, and employee handbooks.
- Respond to employee inquiries related to HR policies, procedures, and benefits in a timely and professional manner.
- Support the recruitment process by assisting with job postings, resume screening, and interview scheduling.
- Coordinate onboarding activities such as preparing new hire packets, collecting required documents, and conducting new hire orientations.
- Assist in organizing and executing employee engagement activities, celebrations, and company events.
- Support HR and Operations initiatives aimed at strengthening workplace culture and employee well-being.
- Review employee time records daily using T-sheets; identify and correct any discrepancies in coordination with supervisors.
- Manage time-off requests by obtaining necessary approvals in advance and ensuring proper documentation is submitted for payroll and compliance.
- Track sick and vacation hours for field employees; ensure all corresponding forms are properly completed and signed.
- Assist in meeting payroll deadlines by coordinating with the Operations and Accounting teams to ensure accurate timekeeping and documentation.
- Perform other responsibilities and tasks as assigned by the Supervisor and based on the needs of the Company (UFG).
Qualificatons:
- A.A. or equivalent work experience.
- 1-3 years of experience in HR, People Operations, or administrative support.
- Experience with HR software (e.g., BambooHR, Quick Book, Workday, or similar systems).
- Ability to effectively communicate with employees at all levels of the organization.
- Strong attention to detail and accuracy.
- Ability to handle sensitive information with discretion and professionalism.
- Strong critical thinking and problem-solving abilities, particularly when dealing with employee inquiries or administrative challenges.
- Familiarity with HR regulations, labor laws, and compliance requirements (e.g., FMLA, ADA, OSHA).
- Understanding of payroll processes and recruitment.
- Ability to work independently and as part of a team, especially in a fast-paced environment.
- Strong interpersonal skills and ability to build relationships with employees across the organization.
- A strong service mindset, with the ability to address employee questions and concerns in a timely and professional manner.
- Ability to adapt to changing priorities and business needs.
- Proficiency in Spanish (written and verbal) . Must be able to speak, read, and write fluently in Spanish.
