The Personal Assistant provides high-level administrative and organizational support to senior leadership. This role ensures leaders time is effectively managed by handling communications, coordinating meetings, arranging travel, and overseeing daily administrative tasks. Acting as a trusted liaison between leadership and internal/external stakeholders, the Personal Assistant facilitates efficient decision-making and supports smooth business operations.
Executive Support & Coordination:

Serve as the primary point of contact for senior leadership, managing interactions with internal teams and external partners.

Organize, prepare, and attend meetings; ensure leaders are fully briefed with relevant materials.

Record meeting minutes, track action items, and follow up to ensure timely completion.

Screen calls, emails, and correspondence, responding on behalf of senior leadership when appropriate.

Manage executive calendars, appointments, and events with precision and confidentiality.
Administrative Management:

Draft, edit, and produce high-quality documents, reports, and presentations.

Ensure smooth coordination of internal communications and information flow.

Support special projects and strategic initiatives as assigned by senior leadership.
Travel & Event Management:

Coordinate travel itineraries—including flights, visas, accommodation, and ground transport—in collaboration with the administration team.

Prepare and process event registrations and related documentation.

Maintain accurate records for visa/passport renewals and other travel-related requirements.
Stakeholder Management:

Welcome and host visitors, ensuring a professional and positive experience.

Represent senior leadership in a secretariat capacity at meetings and events when required.

Build and maintain strong working relationships across all levels of the organization.
Experience Requirements:

Bachelor's degree in any relevant field.

5+ years of relevant experience.

Prior experience as a Personal Assistant, or similar role supporting senior executives.
