Personal Assistant

The Personal Assistant provides high-level administrative and organizational support to senior leadership. This role ensures leaders time is effectively managed by handling communications, coordinating meetings, arranging travel, and overseeing daily administrative tasks. Acting as a trusted liaison between leadership and internal/external stakeholders, the Personal Assistant facilitates efficient decision-making and supports smooth business operations.

Executive Support & Coordination:

  • Serve as the primary point of contact for senior leadership, managing interactions with internal teams and external partners.
  • Organize, prepare, and attend meetings; ensure leaders are fully briefed with relevant materials.
  • Record meeting minutes, track action items, and follow up to ensure timely completion.
  • Screen calls, emails, and correspondence, responding on behalf of senior leadership when appropriate.
  • Manage executive calendars, appointments, and events with precision and confidentiality.


Administrative Management:

  • Draft, edit, and produce high-quality documents, reports, and presentations.
  • Ensure smooth coordination of internal communications and information flow.
  • Support special projects and strategic initiatives as assigned by senior leadership.


Travel & Event Management:

  • Coordinate travel itineraries—including flights, visas, accommodation, and ground transport—in collaboration with the administration team.
  • Prepare and process event registrations and related documentation.
  • Maintain accurate records for visa/passport renewals and other travel-related requirements.


Stakeholder Management:

  • Welcome and host visitors, ensuring a professional and positive experience.
  • Represent senior leadership in a secretariat capacity at meetings and events when required.
  • Build and maintain strong working relationships across all levels of the organization.


Experience Requirements:

  • Bachelor's degree in any relevant field.
  • 5+ years of relevant experience.
  • Prior experience as a Personal Assistant, or similar role supporting senior executives.
