Overview
We are seeking a dynamic and highly organized Personal Assistant to support executive leadership and streamline daily operations. Responsibilities
- Manage complex calendars using Microsoft Outlook Calendar and Google Workspace, scheduling meetings, appointments, and travel arrangements with attention to detail.
- Provide comprehensive administrative support including typing, proofreading, transcription, data entry, and filing to ensure smooth daily operations.
- Coordinate projects by tracking deadlines, preparing reports, and liaising with internal teams or external vendors as needed.
- Handle correspondence via phone, email, and multi-line phone systems with professionalism and excellent phone etiquette.
- Assist with event planning for meetings, conferences, or company functions by organizing logistics and preparing materials.
- Oversee office management duties such as supply inventory, office organization, front desk responsibilities, and maintaining office equipment.
- Utilize bookkeeping tools like QuickBooks for basic financial recordkeeping and perform light bookkeeping tasks as required.
- Support document signing processes using DocuSign and ensure all records are accurately maintained and securely stored.
Experience
- Proven experience as a Personal Assistant or in an administrative support role within an office environment.
- Demonstrated expertise in office management tasks including filing, data entry, customer service, and clerical duties.
- Strong proficiency in Microsoft Office Suite (Word, Excel PowerPoint), Google Workspace applications (Gmail, Docs), and familiarity with Microsoft Outlook Calendar.
- Experience with project coordination, event planning, bookkeeping (QuickBooks preferred), and handling multi-line phone systems.
- Excellent organizational skills with the ability to prioritize tasks efficiently in a fast-paced setting.
- Exceptional communication skills with professional phone etiquette and customer service experience.
