Personal Assistant

Job Summary
We are seeking a proactive and highly organized Personal Assistant to provide comprehensive administrative support to our executive team. Responsibilities

  • Manage and maintain executive calendars, scheduling meetings, appointments.
  • Prepare and proofread correspondence, reports with precision and professionalism.
  • Handle incoming calls with excellent phone etiquette, screening and directing inquiries appropriately.
  • Organize files, documents, and records through effective filing systems both digitally and physically.
  • Assist with bookkeeping tasks using QuickBooks, including data entry and basic financial record management.
  • Support project coordination efforts by tracking deadlines, preparing agendas, taking minutes, and following up on action items.
  • Perform clerical tasks such as typing, transcription, proofreading, data entry, and office organization to streamline daily operations.

Qualifications

  • Proven experience as a Personal Assistant or in an executive administrative support role with a strong background in office management.
  • Demonstrated proficiency in Microsoft Office Suite (Word, Excel PowerPoint), Google Workspace applications, and data entry tools.
  • Excellent organizational skills with the ability to prioritize tasks efficiently in a fast-paced setting.
  • Strong written and verbal communication skills coupled with professional phone etiquette.
  • Experience with bookkeeping software such as QuickBooks is preferred.
  • Ability to handle confidential information discreetly with high integrity.
  • Familiarity with project coordination practices and event planning is advantageous.
  • Previous experience managing calendars using Microsoft Outlook Calendar or similar tools is essential.

Job Type: Part-time

Pay: $20.00 - $25.00 per hour
