Personal Assistant-LEGAL/ ADMIN TO CEO

Overview
We are seeking a dynamic and highly organized Personal Assistant with a strong background in legal and administrative support to work closely with our CEO. Responsibilities

  • Manage the CEO’s complex calendar using Microsoft Outlook Calendar and Google Workspace, coordinating meetings, appointments, and travel arrangements efficiently.
  • Provide comprehensive administrative support including typing, proofreading, transcription, data entry, and filing to ensure accuracy and organization across all documents.
  • Handle Court Calendar- Efile motions, draft motions, do intake of PI and immigration files. Handle front office, mailing, promotional videos, event planning and calendar
  • Handle multi-line phone systems with professionalism, demonstrating excellent phone etiquette while directing calls and managing inquiries promptly.
  • Assist with event planning for company functions, meetings, and client engagements, ensuring all logistics are handled seamlessly from start to finish.
  • Oversee office management duties such as supply procurement, front desk responsibilities, and maintaining a welcoming environment for visitors.
  • Support bookkeeping and invoicing tasks using QuickBooks or similar software; perform basic bookkeeping and recordkeeping to assist the finance team.
  • Coordinate projects by tracking deadlines, preparing reports, and collaborating with various departments to ensure timely completion of tasks.
  • Utilize Office experience skills including document proofreading, transcription, data entry, filing systems, and clerical support to maintain operational efficiency.
  • Use DocuSign for electronic signatures on contracts and important documents while ensuring all legal documentation is properly organized.
  • Provide personal assistance to the CEO by managing confidential information discreetly and efficiently handling personal errands or requests as needed.

Experience

  • Proven experience as a Personal Assistant or Executive Administrative Support role within a legal or corporate environment.
  • Demonstrated expertise in office management tasks such as filing systems, front desk duties, and customer service interactions.
  • Strong organizational skills with the ability to multitask effectively in fast-paced settings; experience in project coordination is highly desirable.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace (Gmail, Calendar), QuickBooks, and familiarity with multi-line phone systems.
  • Excellent typing speed along with transcription skills; capable of proofreading documents meticulously for accuracy.
  • Prior experience supporting legal teams or working within legal settings is a plus but not mandatory.
  • Knowledge of office equipment operation including photocopiers, scanners, and other clerical tools; familiarity with data entry procedures is essential. Job Types: Part-time, Temporary

Pay: $15.00 - $18.00 per hour
