Overview
We are seeking a highly organized and proactive Personal Assistant to support the Director in a dynamic office environment. The ideal candidate will possess strong administrative skills, excellent communication abilities, and experience in managing complex schedules and projects. This role offers an opportunity to work closely with executive leadership, providing essential support to ensure smooth daily operations and effective project management. The position is full-time and involves a variety of clerical, administrative, and personal assistance responsibilities.
Duties
- Manage and coordinate the Director’s calendar using Microsoft Outlook Calendar and Google Workspace, scheduling meetings, appointments, and events efficiently.
- Prepare and edit correspondence, reports, presentations, and other documents with high attention to detail, proofreading for accuracy.
- Handle phone calls with professional phone etiquette, screen inquiries, and direct calls appropriately using multi-line phone systems.
- Assist with event planning logistics for company functions, meetings, or special events.
- Perform data entry and maintain organized filing systems both digitally and physically.
- Support bookkeeping tasks using QuickBooks, including invoicing, expense tracking, and basic financial record keeping.
- Manage office supplies inventory and coordinate office management tasks to ensure a productive work environment.
- Conduct transcription of meetings or notes as needed; assist with project coordination to meet deadlines.
- Facilitate communication between departments and external contacts; provide executive administrative support as required.
- Utilize Office experience including Microsoft Office suite (Word, Excel, PowerPoint) for various administrative tasks.
- Assist with document signing via DocuSign and manage electronic workflows efficiently.
- Provide front desk support when necessary, including greeting visitors and handling customer service inquiries.
Experience
- Proven experience as a Personal Assistant or Executive Administrative Support role within an office setting.
- Demonstrated proficiency in office management software such as Microsoft Office (Word, Excel, PowerPoint), Google Workspace, QuickBooks, and DocuSign.
- Strong organizational skills with the ability to multitask effectively in a fast-paced environment.
- Excellent typing skills along with proofreading and transcription abilities.
- Experience coordinating projects or events from inception to completion.
- Exceptional communication skills—both verbal and written—and professional phone etiquette.
- Familiarity with multi-line phone systems and calendar management tools like Microsoft Outlook Calendar.
- Background in clerical work including filing, data entry, front desk duties, and customer service is highly desirable. This role is ideal for a motivated individual who thrives on organization, efficiency, and supporting executive leadership through comprehensive administrative assistance.
