Personal/Executive Assistant

Overview
We are seeking a dynamic and highly organized part time Personal/Executive Assistant to provide comprehensive work and home support to a busy tech entrepenuer. This role offers an exciting opportunity to be at the heart of our operations, assisting in both key work related tasks and home related administrative tasks (no childcare related work required). The ideal candidate will be a confident self starter, demonstrate strong computer skills, organizational skills, professional friendly communication skills, be a quick learner and proactive, enjoy learning and problem-solving abilities, and have a positive attitude to keep our executive team focused and efficient. This paid position is perfect for someone eager to grow professionally while making a meaningful impact through exceptional administrative support.

Responsibilities

  • Manage email, complex calendars, schedule appointments, and coordinate meetings using tools such as Microsoft Outlook Calendar and Zoom.
  • Manage personal errands and tasks for an executive as needed to help them focus on strategic priorities and achieve life balance.
  • Handle many aspects of office management, including creating and editing data files in Excel, data entry, and maintaining organized online records.
  • Provide executive administrative support, including proofreading documents, preparing email responses, preparing reports with accuracy and attention to detail, and handling administrative tasks.
  • Support bookkeeping tasks using QuickBooks and perform basic bookkeeping duties such as invoicing and recording payments.

Qualifications

  • A curiosity and desire to learn new technology (AI, Hubspot, database management)
  • Has working laptop computer
  • Proven experience as a personal or executive assistant with strong office management skills.
  • Demonstrated proficiency in Microsoft Office Suite (Word, Excel, ), Google Workspace ( Google Documents), and keyboards skills.
  • Excellent organizational skills with the ability to multitask efficiently in a fast-paced environment.
  • Strong written and verbal communication skills complemented by good phone and text etiquette.
  • Familiarity with QuickBooks or similar bookkeeping software is a plus.
  • Ability to handle confidential information discreetly with professionalism and integrity.
  • Prior experience in administrative assitance or executive operations enhances suitability for this position.

Pay: $26.00 - $32.00 per hour

Expected hours: 10.0 – 20.0 per week
