Physical Therapy Receptionist

We are a small Physical Therapy clinic in Mt. Kisco dedicated to providing high-quality, comprehensive physical therapy and fitness education. Our experienced and caring staff creates a welcoming environment where patients feel confident and supported. Our goal is to help each patient reach their highest level of function. We are seeking someone who will be the operational backbone of our daily workflow.

About the Role

The Receptionist ensures the smooth operation of the clinic’s front office and provides occasional support to the Physical Therapist with patient care activities. This position is ideal for someone who thrives in a healthcare environment, communicates clearly, and loves helping people.

Job Responsibilities

  • Warmly greet and check in/check out patients
  • Answer phone calls, schedule appointments, and manage provider calendars
  • Verify insurance benefits; obtain authorizations and monitor visit limits
  • Handle copays, billing inquiries, and daily payment reconciliation
  • Maintain organized patient records and documentation in EMR systems
  • Coordinate communication between therapists, patients, and external providers
  • Manage supply inventory, office equipment, and general clinic organization
  • Ensure the clinic environment is clean, professional, and welcoming
  • Support marketing efforts including patient reminders, online reviews, and outreach
  • Assist with problem-solving and overall workflow as needed
  • Perform other duties as assigned to support clinic operations

Qualifications

  • Previous experience in a medical office, therapy clinic, or similar setting preferred
  • Strong administrative, multitasking, and communication skills
  • Comfort with EMR/EHR software (experience with WebPT a plus)
  • Knowledge of insurance verification and basic billing terminology strongly preferred
  • Friendly, professional demeanor with excellent customer service skills
  • Ability to stay organized, accurate, and calm under pressure
  • High school diploma required; additional healthcare training or background is a plus
