PLANNING ENGINEER (SWIMMING POOL AND LANDSCAPE INDUSTRY)

Duties and Responsibilities

1. Project Planning and Scheduling

  • Develop Master Schedules: Create comprehensive, resource-loaded project schedules using software like Primavera P6 or MS Project. This schedule serves as the project's roadmap from start to finish.
  • Create Work Breakdown Structures (WBS): Deconstruct large, complex projects into smaller, manageable tasks. For a landscape and pool project, this would include distinct phases such as:
  • Site Mobilization & Excavation
  • Pool Structural Works (rebar, shotcrete/concrete)
  • Waterproofing and Tiling
  • MEP Works (plumbing, filtration systems, lighting)
  • Hardscaping (paving, decking, pergolas)
  • Softscaping (soil preparation, irrigation installation, planting)
  • Testing, Commissioning, and Handover
  • Critical Path Method (CPM): Identify the sequence of tasks that determines the project's total duration. This is crucial for understanding which activities cannot be delayed without affecting the project completion date.
  • Look-Ahead Schedules: Prepare short-term schedules (e.g., two-week or one-month look-aheads) to provide clear, immediate goals for the site execution team.

2. Resource Management

  • Resource Allocation: Plan for the efficient use of labor (masons, plumbers, electricians, gardeners), equipment (excavators, cranes), and materials.
  • Material & Procurement Coordination: Work closely with the procurement department to ensure timely delivery of all materials. This is especially critical for long-lead items such as custom tiles, specialized pool equipment, or mature trees, which can significantly impact the schedule if delayed.
  • Resource Leveling: Create histograms and S-curves to visualize resource usage over time, preventing overallocation or underutilization of staff and equipment across multiple concurrent projects.

3. Monitoring, Control, and Reporting

  • Progress Tracking: Regularly monitor on-site progress against the baseline schedule. This involves site visits, reviewing daily reports, and constant communication with Project Managers and Site Foremen.
  • Variance Analysis: Identify deviations from the plan, analyze the cause and impact of delays, and proactively develop recovery or mitigation plans.
  • Reporting: Prepare and distribute clear and concise progress reports (daily, weekly, monthly) for senior management and clients. These reports typically include KPIs, milestone tracking, and analysis of any schedule variances.

4. Coordination and Communication

  • Liaison Role: Act as the central hub for all schedule-related information, coordinating between the design team, construction team, procurement department, and subcontractors.
  • Meeting Facilitation: Lead or actively participate in progress meetings to discuss project timelines, address bottlenecks, and ensure all stakeholders are aligned.

5. Commercial and Contractual Support

  • Progress Measurement: Provide accurate data on the percentage of work completed to support the commercial team in preparing monthly invoices and payment applications.
  • Claims and Variations: Prepare schedule-impact analysis for any client-requested changes (variation orders) or to substantiate claims for an Extension of Time (EOT) due to unforeseen delays.
