The Planning Manager is responsible for developing, monitoring, and controlling project schedules, resource plans, and progress reports for commercial interior fit-out projects. The role requires expertise in Microsoft Project (MSP), project coordination, tracking dependencies, and ensuring timely completion of project milestones. The Planning Manager works closely with project teams, procurement, design, and management to drive efficient project execution.
Key Responsibilities1. Project Planning & Schedule Development
- Prepare detailed project schedules using MSP for all commercial interior fit-out works.
- Define project milestones, dependencies, critical paths, resource allocation, and timelines.
- Develop baseline schedules, look-ahead plans, micro schedules, and dashboards.
2. Monitoring & Progress Tracking
- Track daily/weekly progress against the baseline schedule.
- Identify delays, risks, and bottlenecks; prepare recovery plans.
- Conduct variance analysis (planned vs. actual) and revise schedules accordingly.
- Monitor subcontractors’ productivity and work sequencing.
3. Coordination with Project Teams
- Work closely with Project Managers, Site Engineers, QS, Procurement, and Design teams.
- Coordinate for timely material approvals, shop drawings, and subcontractor mobilization.
- Communicate schedule updates clearly across stakeholders.
4. Reporting & MIS
- Prepare weekly/monthly progress reports, dashboards, delay analysis, and MIS for management.
- Present schedule health, critical activities, and forecasted completion dates.
- Maintain proper documentation of schedules, revisions, and progress records.
5. Procurement & Resource Planning
- Plan material procurement timelines based on project schedule.
- Monitor long-lead items and coordinate procurement follow-ups.
- Ensure optimization of manpower, subcontractors, and equipment utilization.
6. Risk Management & Issue Resolution
- Identify risks related to timelines, resource shortages, design dependencies, and vendor performance.
- Provide early alerts and mitigation strategies to the project team.
- Assist in claims, change orders, and extension-of-time (EOT) documentation.
7. Quality & Safety Coordination
- Ensure planned activities align with quality and safety standards.
- Track inspections, approvals, and checklists as per schedule.
Skills & Competencies Required
- Strong expertise in Microsoft Project (MSP) and project planning tools.
- Excellent understanding of interior fit-out execution, civil finishes, MEP coordination and commercial project workflows.
- Ability to read drawings, BOQ, project specifications, and project scope documents.
- Strong analytical and problem-solving skills.
- Excellent communication and inter-departmental coordination abilities.
- Proficiency in MS Excel (advanced), dashboards, and reporting formats.
- Strong time-management and multi-project planning capability.
Education & Experience
- B.E./B.Tech (Civil), Diploma (Civil/Interior), or related qualification.
- 5–12 years of experience in project planning for interior fit-out / construction.
- Must have hands-on experience working on commercial projects (corporate offices, retail, hospitality, etc.).
- Mandatory experience with MSP and planning methodologies.
- Exposure to project management tools, PMO processes, and cost control preferred.
