Procurement Executive

Position Title: Procurement Executive

Department - Procurement

Job Summary

The Procurement Executive is responsible for sourcing, purchasing, and managing supplies and services required for company operations. This includes procurement related to manpower support services, office supplies, PPE Kits etc. This role ensures cost-effective purchasing, reliable supplier relationships, and timely delivery while maintaining company quality standards and compliance with procurement policies.

Key Responsibilities:

* Procurement & Sourcing

  • Source and procure materials, equipment, and services including but not limited to office supplies, vehicle spare parts, operational requirements, PPE kits etc.
  • Identify and evaluate suppliers.
  • Obtain and compare quotations from multiple vendors to ensure competitive pricing.
  • Prepare purchase orders (POs) and ensure approvals as per company procurement procedures.
  • Monitor and follow up on order status and delivery schedules.

* Vendor Management

  • Develop and maintain relationships with reliable vendors and service providers.
  • Negotiate pricing, payment terms, and service agreements.
  • Evaluate vendor performance in terms of quality, delivery, and cost efficiency.
  • Maintain an updated vendor database.

* Inventory & Cost Control

  • Coordinate with stores/operations to maintain adequate inventory levels of office supplies and spare parts.
  • Track consumption and ensure timely replenishment.
  • Identify cost-saving opportunities and implement efficient procurement strategies.

* Documentation & Compliance

  • Maintain procurement records including quotations, purchase orders, invoices, and delivery notes.
  • Ensure all procurement activities comply with company policies and contractual requirements.
  • Assist in audit processes related to procurement documentation.

* Coordination

  • Coordinate with operations, HR, logistics, and finance departments to ensure procurement needs are met.
  • Support mobilization of manpower by arranging necessary equipment, supplies, and vehicle requirements.

Requirement:

  • Minimum 2–5 years of procurement experience, preferably in manpower services, Oil and Gas industry, facilities management, logistics, or trading companies.
  • Bachelor’s degree in Business Administration, Supply Chain Management, or related field.
  • Additional certification in Procurement or Supply Chain is an advantage.
  • Strong negotiation and supplier management skills
  • Good knowledge of procurement processes and documentation
  • Ability to analyze quotations and control costs
  • Proficiency in MS Office and ERP systems
  • Good communication and coordination skills
  • Ability to work under deadlines and manage multiple purchase requests
