Job Title: Procurement Executive– Gifts, Promotions & Trading

Role Overview:

The Procurement Executive will be responsible for sourcing, negotiating, and managing suppliers for corporate gifts, promotional items, and trading goods. The role requires strong vendor management, cost control, and the ability to ensure quality and timely deliveries that meet client requirements

Key Responsibilities:

  • Identify, evaluate, and develop reliable suppliers for gifts, promotional products, and trading items.
  • Source competitive quotations and maintain updated supplier catalogs.
  • Ensure procurement activities comply with company policies and client specifications.
  • Negotiate pricing, payment terms, and delivery schedules with suppliers.
  • Build and maintain strong relationships with local and international vendors.
  • Assess supplier performance based on quality, cost, and reliability.
  • Develop alternative supplier options to reduce dependency and risks.
  • Prepare cost estimates for proposals, tenders, and client quotations.
  • Work closely with sales teams to support client requirements with accurate pricing.
  • Maintain a cost database for different product categories.
  • Issue purchase orders and track order fulfillment.
  • Coordinate with logistics and warehouse teams to ensure timely delivery.
  • Handle customs clearance and shipping for international orders (if required).
  • * Ensure all procured items meet the required quality standards.
  • * Arrange product sampling and approvals before bulk orders.
  • * Address defective/delayed supplies with corrective actions.
  • Maintain procurement records, supplier agreements, and contracts.
  • Prepare weekly and monthly procurement reports.
  • Monitor budgets and ensure cost efficiency.

Qualifications & Skills:

  • Bachelor’s degree in Supply Chain, Business Administration, Marketing, or related field.
  • 3–6 years of procurement experience (preferably in gifts, promotions, trading, or similar industries).
  • Strong negotiation and vendor management skills.
  • Knowledge of sourcing from international markets (China, India, UAE, etc.) is an advantage.
  • Proficiency in MS Office (Excel, Word, Outlook) and ERP systems.
  • Excellent communication, organizational, and problem-solving skills.
  • Ability to manage multiple procurement requests under tight deadlines.
