Procurement Junior Officer

Job Purpose

The Junior Procurement Officer supports end-to-end procurement activities, from order creation and supplier coordination to documentation, data management, and compliance. The role plays a key part in ensuring the accuracy and efficiency of procurement operations, maintaining vendor relationships, and supporting stock availability across Floward’s supply chain. This position also contributes to process improvements and upholds high standards in operational execution, documentation, and collaboration.


Key Responsibilities

Sourcing & Order Management

  • Create and manage purchase orders on MS Dynamics, ensuring accuracy and timely delivery.
  • Communicate with suppliers and internal teams to confirm orders, update timelines, and resolve issues.
  • Support procurement planning aligned with forecasts and department KPIs.

Vendor Coordination & Market Awareness

  • Liaise with vendors to negotiate pricing and delivery terms in collaboration with the Procurement Manager.
  • Monitor local and international supply markets and product availability, especially in the gifting category.
  • Track stock levels and coordinate replenishment to avoid shortages.

Data Entry & Documentation

  • Input and maintain procurement data across ERP and Excel trackers with high accuracy.
  • Conduct regular data audits and ensure proper filing of purchase documents, contracts, and invoices.
  • Assist in developing systems for tracking procurement progress and financial processing.

Compliance & Process Adherence

  • Ensure alignment with procurement policies, contracts, and audit requirements.
  • Track supplier performance and escalate discrepancies or delays.
  • Contribute to cost-efficiency initiatives and procurement risk management.

Stakeholder Collaboration & Reporting

  • Partner with warehouse, operations, and finance teams for smooth end-to-end procurement execution.
  • Maintain clear records and report key trends, risks, and supplier updates to management.
  • Ensure communication is timely and transparent across all procurement stakeholders.


Skills and Qualifications

Education:

Bachelor’s degree in Supply Chain Management, Business Administration, or related field.

Experience:

  • 1–3 years of procurement, purchasing, or supply chain operations.
  • Experience in ERP systems (MS Dynamics preferred) and Excel.
  • Industry background in flowers, gifting, or FMCG is advantageous.

Technical Skills:

  • Strong MS Excel and ERP system usage.
  • Knowledge of vendor performance tracking and pricing comparison.

Soft Skills:

  • Detail-oriented with strong organization and time management.
  • Proactive problem-solver with strong communication skills.
  • Ability to manage sensitive data with integrity and confidentiality.
