A Procurement Officer is responsible for purchasing goods, materials, and services required by the organization while ensuring cost-effectiveness, quality standards, and timely delivery. The role involves vendor management, contract negotiation, and ensuring compliance with company procurement policies.
Key Responsibilities
- Purchasing & Sourcing
- Identify, evaluate, and select suppliers for goods and services.
- Obtain quotations, compare prices, and negotiate contracts.
- Ensure procurement is done at the best price and quality.
- Vendor Management
- Maintain strong relationships with suppliers and vendors.
- Evaluate supplier performance regularly.
- Resolve issues related to delivery, quality, or pricing.
- Procurement Planning
- Forecast purchasing needs based on departmental requirements.
- Prepare purchase orders and ensure approval processes are followed.
- Monitor inventory levels to avoid shortages or overstock.
- Cost Control
- Conduct cost analysis and identify cost-saving opportunities.
- Negotiate favorable payment terms with suppliers.
- Compliance & Documentation
- Ensure procurement activities comply with company policies and legal regulations.
- Maintain accurate procurement records, contracts, and supplier documentation.
- Coordination
- Coordinate with finance, logistics, and warehouse teams.
- Track shipments and ensure timely delivery of goods.
- Reporting
- Prepare procurement reports and supplier analysis.
- Monitor procurement KPIs and performance metrics.
Required Qualifications
- Bachelor’s degree in Supply Chain Management, Business Administration, or related field.
- 2–5 years of experience in procurement or purchasing roles.
- Knowledge of procurement software and ERP systems.
