Position Summary:SurgiShop is seeking an enthusiastic and proactive Vendor Relationship & Assurance Manager to oversee all aspects of vendor management and maintain our comprehensive Vendor Assurance Program. This role is responsible for building and nurturing strong, compliant relationships with vendors supplying our goods, ensuring that every partner meets our high standards of quality, financial stability, and ethical conduct. The ideal candidate will have strong analytical skills, excellent communication abilities, and a solid understanding of procurement, compliance, and quality assurance practices.
Compensation:
Salary range: $40,000–$50,000 annually, depending on experience.
Key Responsibilities:
- Vendor Relationship Management:
- Serve as the primary point of contact for suppliers, managing all communication related to reports, issues, updates, and returns.
- Coordinate and monitor logistics with suppliers to ensure a consistent and timely supply of goods.
- Cultivate and maintain strong relationships with both current and prospective vendors by lead generation and cold calling to secure a reliable source of high-quality products.
- Support our customer surplus initiatives by assisting in their ongoing development.
- Contribute to business growth through lead generation and cold calling efforts.
- Vendor Assurance Program Maintenance:
- Oversee the implementation and ongoing management of the Vendor Assurance Program, ensuring all vendors meet the defined qualification criteria (e.g., signed Vendor Agreement, valid W-9 form, and required financial information)
- Coordinate the collection, verification, and maintenance of vendor documentation.
- Monitor vendor performance using established KPIs and vendor scorecards, and ensure ongoing periodic reviews.
- Ensure that all vendor relationships and processes adhere to SurgiShop’s quality, legal, and ethical standards
- Risk Management, Communication and Reporting:
- Maintain SurgiShop’s internal procurement documentation (Purchase Orders, Offer Quotes, Purchase Receipts, Spreadsheets)
- Open and documented channels of communication with vendors through diverse methods (e.g., email, phone, video conferencing) while ensuring that records of all communications are maintained.
- Monitoring, assessment and reporting on vendor performance, supply availability, risks, and program effectiveness.
- Serve as a liaison for any whistleblower reports or concerns regarding vendor activities, ensuring prompt investigation and resolution.
- Cost tracking and market analysis
- Continuous Improvement:
- Collect feedback from vendors and internal stakeholders to continuously improve vendor management processes.
- Stay updated on industry best practices and emerging trends in supply chain management, quality assurance, and risk management.
- Recommend and implement innovative tools and practices to enhance the overall effectiveness of the Vendor Assurance Program.
- Assist in continued process development
Qualifications:
- Bachelor’s degree preferred but not required.
- Strong analytical and problem-solving skills with the ability to interpret data effectively.
- Excellent written and verbal communication skills.
- Familiarity with compliance and quality assurance processes.Proficiency in using vendor management software and Google Suite (including Google Docs and Google Sheets).
- Demonstrated commitment to ethical business practices and continuous improvement.
