Procurement Specialist

Job Summary

The Procurement Specialist is responsible for sourcing, negotiating, and purchasing materials, equipment, and services required by the organization while ensuring cost efficiency, quality, and timely delivery. The role focuses on supplier relationship management, contract negotiations, procurement planning, and compliance with company policies and procedures.

Key Responsibilities Procurement Operations

  • Source and evaluate suppliers based on quality, price, delivery, and service.
  • Obtain quotations and conduct price comparisons.
  • Negotiate pricing, payment terms, delivery schedules, and commercial agreements.
  • Issue Purchase Orders (POs) and monitor order progress.
  • Ensure timely delivery of materials and services.

Vendor Management

  • Develop and maintain relationships with approved suppliers.
  • Evaluate supplier performance using KPIs.
  • Identify and qualify new suppliers.
  • Maintain an updated approved vendor list.

Cost Management

  • Identify cost-saving opportunities.
  • Conduct market research and benchmark pricing.
  • Support annual procurement budgeting.
  • Monitor procurement expenditures.

Contract Management

  • Review supplier quotations and contracts.
  • Ensure contracts comply with company requirements.
  • Track contract validity and renewal dates.

Inventory & Coordination

  • Coordinate with Warehouse and Logistics teams.
  • Monitor stock levels to avoid shortages.
  • Work closely with Engineering, Projects, Finance, and Operations departments.

Documentation & Compliance

  • Maintain accurate procurement records.
  • Ensure procurement activities comply with company policies.
  • Support internal and external audits.

Reporting

  • Prepare procurement reports and KPIs.
  • Analyze purchasing trends.
  • Report procurement savings and supplier performance.

Qualifications

  • Bachelor's Degree in Business Administration, Supply Chain Management, Engineering, or a related field.
  • Professional certifications are an advantage:
  • CIPS
  • CPSM
  • CSCP
  • PMP (Preferred)

Experience

  • 3–6 years of procurement experience.
  • Experience in Construction, ELV, Security Systems, MEP, ICT, or Engineering companies is highly preferred.
  • Experience with local and international suppliers.
