Program Assistant - Workforce Education Services (Non-Permanent)

Big Bend Community College (BBCC), a rural college serving vibrant, culturally rich communities in the Columbia Basin of Central Washington invites applications for a Program Specialist in the college's Workforce Education Services department. This position is a non-permanent position funded through June 2027 dependent on continued grant funding.

The Program Assistant works closely with other Workforce Education Services staff to provide student service support and educational navigation for students. Primary responsibilities include, but are not limited to, guiding students through the application and interview process to apply for the program, serving as a primary program contact for a caseload of students, and orienting students to the program. As changes occur with the grants that fund the department, so do the priorities, policies, and daily work of the department. The Program Assistant must be flexible and adaptable to changing priorities.

Case Management:

  • Manage a caseload of students including, reporting participation hours and progress notes in the DSHS e-JAS system, sending e-mails to students and calling students to check on progress, and occasionally verifying attendance with instructors.
  • Serve as Point of Contact for Early Achievers Grant helping students in the Early Childhood Education (ECE) program. Duties include promotion, case management (including funding), and grant reporting.
  • Maintain student files with quarterly schedules, current transcripts, and updated programs plans.
  • Monitor and support students' progress toward certificates or degrees.
  • Provide intervention when students are struggling with academics and personal issues; provide referrals to tutoring services, counseling or community agencies.
  • Provide orientations to new students accepted into the program to explain program details and expectations
  • Assist in managing the flow of applications for Workforce Education Services.
  • Knowledgeable of th WES grants policies and procedures.
  • Review Workforce Education Services applications for eligibility using e-JAS, Financial Aid Management, and ctcLink.

WES Outreach and Recruitment:

  • Provide information for students and prospective students about the program, services, application process.
  • Explain program criteria, purpose, and supports to perspective students.
  • Interview prospective students as part of the program application process.
  • Collaborate with public agencies and private organizations serving potential students, including DSHS and Employment Security/Worksource partners.
  • Attend and represent BBCC Workforce Education Services at outreach and recruitment related events, meetings and workshops.

WES Office Responsibilities:

  • Respond to inquiries from the public and provide customer service
  • Perfom receptionist duties to include filing, assist in managing the WES email and phone.
  • Collaborate with WES team members to improve services to students and increase efficiencies for the department.
  • Perform other related duties and responsibilities as may be required.

OTHER WORK ACTIVITIES:

  • Maintains professional growth and development through seminars, workshops and professional affiliations to keep abreast of latest trends in field of expertise.
  • Ensures no injuries to self or others by following safe work practices and policies. This includes, but is not limited to: security and safety, understanding of MSDS, equipment, infection control, fire, disaster, safe lifting and body mechanics.
  • Ensures compliance with college policies and procedures and state and federal regulations.
  • Conduct self in a professional manner and ensures the interaction with team members and other support groups is conducted in a courteous and efficient manner conducive to the college’s values.
  • Perform related duties and responsibilities as may be required.

DUTIES OF THE POSITION REQUIRE EXPERIENCE AND KNOWLEDGE IN:

  • Use of electronic databases and various technology tools to complete daily tasks.
  • Appreciation for and experience working directly with individuals from diverse academic, socioeconomic, cultural, ability, and ethnic backgrounds.

MINIMUM QUALIFICATIONS:

  • High School Diploma or equivalent
  • Two (2) years of work experience in an administrative and clerical support position with experience providing services to and working with the public.
  • Must have the ability to read, write, translate, and converse with fluency in both Spanish and English.
  • Experience working effectively with individuals from diverse academic, socioeconomic, cultural, ability, and ethnic backgrounds.

DESIRABLE QUALIFICATIONS:

  • Associates Degree or higher from a regionally accredited institution.
  • Experience working with adults to develop educational goals, apply for and receive benefits.
  • Computer skills
  • Experience dispersing funds to clients or students.
  • Work experience at a Community and Technical College in student services and/or Workforce education.
