Project Coordinator (Operations & Executive Support) for a US based law immigration firm.
Location: DHA Phase 8, Lahore | Shift: 06 PM – 03 AM

The Project Coordinator serves as the operational backbone of the organization, ensuring seamless coordination between Production, Client Intake, HR, Finance, IT, and Executive Leadership. This role requires someone who thinks strategically, moves with urgency, solves problems independently, and thrives in a structured, fast-paced environment.
Key Responsibilities
Production & Operations Management
- Oversee daily administrative operations and workflow management for the Production Team
- Develop, implement, and maintain Standard Operating Procedures (SOPs)
- Maintain hearing trackers, case calendars, and manage scheduling for legal appearances
- Coordinate attorney representation and ensure proper case file transfers
- Monitor case submission trackers, mailing lists, and production pipeline accuracy
- Review incoming legal notices and flag RFEs or government communications
- Oversee digital file management systems (SharePoint, Docketwise)
- Conduct daily coordination meetings with communications and front-line teams
Executive & Strategic Support
- Manage CEO's professional calendar, scheduling, and inbox management
- Compile weekly KPI reports and operational performance dashboards
- Coordinate cross-functional meetings and performance check-ins
- Execute CEO-led initiatives and strategic projects
- Maintain compliance tracking (licensing, renewals, vendor agreements)
HR & Team Administration
- Manage employee onboarding and offboarding processes
- Coordinate IT access and software setup for new hires
- Serve as point of contact for contract attorneys on administrative matters
- Produce monthly Performance Efficiency Reports
- Maintain employee manuals and operational documentation
Finance & Payment Coordination
- Track attorney case reviews for compensation calculations
- Maintain payment trackers and client installment plans
- Coordinate with clients regarding pending balances
- Liaise with bookkeeping for payroll and vendor payments
Client Intake & Onboarding Support
- Act as liaison between Client Intake (PNC) and Production teams
- Ensure new matters are properly set up in case management systems
- Maintain New Work Planner and monitor client communication channels
- Coordinate onboarding logistics between intake team, paralegals, and coordinators
- Monitor client satisfaction surveys and internal quality audits
- Technology & Systems Oversight
- Manage CRM and case management systems
- Provide IT troubleshooting coordination
- Ensure secure digital file management and data protection compliance
Qualifications & Requirements
Required:
- Bachelor’s degree in business administration, Management, or related field
- 3+ years in Project Coordination, Operations Management, or Executive Support roles
- Experience with US-based companies or law firms strongly preferred
- Advanced Excel skills (pivot tables, VLOOKUP, dashboards, data analysis)
- Strong project management and organizational abilities
- Excellent written and verbal English communication
- High attention to detail and confidentiality
- Ability to work onsite in DHA Phase 8, Lahore
- Ability to align with US Eastern Time work schedule
Preferred:
- Experience with CRM systems and case management software
- Background in legal operations or immigration law support
- Proficiency in project management tools (Asana, Monday.com)
