Duties

  • Maintain detailed project documentation, including reports, timelines, and status updates
  • Communicate effectively with team members, stakeholders, and clients via multi-line phone systems and email
  • Manage calendars and coordinate appointments for project teams or executives
  • Support administrative functions such as data entry, filing, proofreading, and record keeping
  • Provide exceptional customer support by addressing inquiries promptly and professionally
  • Facilitate smooth office operations through front desk management, phone etiquette, and office management tasks
  • Track project progress using organizational skills and time management techniques to ensure milestones are achieved

Skills

  • Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace applications
  • Excellent organizational skills with the ability to multitask efficiently in a fast-paced environment
  • Effective communication skills including phone etiquette and bilingual capabilities (preferred)
  • Experience with clerical tasks such as data entry, filing, proofreading, and calendar management
  • Knowledge of office management practices and administrative procedures
  • Familiarity with QuickBooks or bookkeeping is a plus for financial tracking responsibilities
  • Ability to handle multi-line phone systems confidently while providing outstanding customer service
  • Proven ability to prioritize tasks using time management strategies to meet deadlines
  • Previous office experience in roles such as receptionist or personal assistant is advantageous
  • Demonstrated organizational skills with attention to detail in document handling and record keeping
