Job Summary:

We are looking for an organized and proactive Project Coordinator to support our project management team in the successful delivery of interior fit-out projects. The ideal candidate will have 3–4 years of experience in coordinating interior design or fit-out projects, with a strong focus on communication, documentation, and follow-ups.

Key Responsibilities:

  • Act as the central point of contact between internal departments, clients, consultants, and subcontractors.
  • Assist the Project Manager in tracking project timelines, deliverables, and key milestones.
  • Maintain and organize project documentation, including contracts, drawings, and meeting minutes.
  • Schedule and coordinate meetings, follow up on action points, and ensure timely communication among stakeholders.
  • Prepare and update project trackers, progress reports, and status summaries.
  • Coordinate with the design, technical, and execution teams to ensure alignment on project requirements.
  • Monitor and update project schedules in collaboration with the Project Manager.
  • Support in drafting client communications, transmittals, and project correspondence.
  • Handle administrative tasks such as documentation control, filing, and document distribution.
  • Ensure all project-related documents are archived and maintained as per company protocols.
  • Development of Project schedule in MS Project and Primavera
  • Supporting Pre contract team as per the requirement.
  • Coordinating with Building Management for organising required work permits.
  • Knowledge about drawing submission in Authorities and relevant portal (DM, DCP, DDA, Trakhees, DIFC, DWTC etc).
  • Coordinating to organise and record weekly internal meeting.
  • Supporting Design or any other internal departments as per the requirements.
  • Coordinating and obtaining required insurance from the insurance providers.

Key Requirements:

  • Bachelor's Degree or related field.
  • 3–4 years of experience in a project coordination role within the interior fit-out industry.
  • Strong organizational and time management skills with the ability to multitask.
  • Excellent verbal and written communication skills.
  • Proficiency in MS Projects and Primavera software is a must. Strong knowledge of MS Office (Excel, Word, PowerPoint)
  • Collaborative team player with a keen eye for detail and follow-through.
  • Ability to thrive in a fast-paced, deadline-driven environment.
