Key Responsibility

  • Plan, execute, and oversee all phases of medical events and conferences, from concept development to post-event evaluation.
  • Coordinate with scientific committees, speakers, and moderators to manage agendas, abstracts, and presentation materials.
  • Ensure compliance with CME/CPD accreditation standards and support the submission and documentation process.
  • Manage project timelines, budgets, and deliverables, ensuring adherence to internal standards and client expectations.
  • Liaise with healthcare authorities, sponsors, and partners, ensuring all event elements align with medical and regulatory guidelines (e.g., pharma code, MOH requirements).
  • Oversee delegate registration processes, including online platforms, onsite check-in, and badge printing.
  • Work closely with internal teams (design, marketing, technical, logistics) and external vendors to ensure seamless event execution.
  • Conduct site visits and coordinate all onsite operations, including AV setup, stage management, signage, and exhibitor arrangements.
  • Manage event communications, including speaker briefings, delegate updates, and sponsor correspondence.
  • Prepare and maintain project documentation: project plans, status reports, budgets, post-event reports, and feedback summaries.
  • Lead onsite team operations during the event, ensuring smooth delivery of sessions, workshops, and networking functions.
  • Anticipate and manage risks or issues, providing real-time solutions and maintaining a high level of professionalism.

Required Experience

  • Minimum 2 years of experience in project management within the medical conferences, healthcare exhibitions, or pharmaceutical events domain.
  • Proven track record in managing end-to-end event execution including budgeting, logistics, delegate management, and post-event reporting.
  • Strong familiarity with CME/CPD accreditation processes, speaker management, and handling scientific committee protocols.
  • Experience working with medical associations, healthcare professionals, and international faculty is highly preferred.
  • Solid understanding of regulatory guidelines related to healthcare events (e.g., pharma compliance, MOH/UAE regulations, GDPR).
  • Ability to coordinate with cross-functional teams, including design, marketing, registration, and AV/tech teams.
  • Proficiency in tools like project management software, CRM systems, and event registration platforms.
  • Demonstrated ability to handle tight timelines, multi-track agendas, and onsite troubleshooting with professionalism.
  • Excellent communication, negotiation, and stakeholder management skills.
  • Willingness to travel and work extended hours during event periods.
