Strategic Client Engagement

  • Lead client meetings to align on project objectives, define priorities, review deliverables, and resolve pain points.
  • Translate client requirements into clear, actionable technical briefs for development and design teams (e.g., wireframes, user stories, acceptance criteria).
  • Present data-backed insights using CRM analytics (Zoho, HubSpot, Salesforce dashboards) to guide strategic decisions and optimize client outcomes.

Technical Project Coordination

  • Manage CRM customization such as custom fields, pipelines, dashboard setups, automated workflows, and user permissions (Salesforce/HubSpot/Zoho).
  • Oversee integrations using Zapier, Make.com, or custom APIs to ensure seamless data flow across platforms.
  • Build and implement automation systems—email sequences, task automations, ticketing workflows—to streamline internal and client operations.

Team Leadership & Cross-Functional Collaboration

  • Mentor and supervise developers, designers, and virtual assistants while encouraging Agile practices (sprint planning, stand-ups, retros).
  • Act as the communication bridge between technical teams and non-technical stakeholders, ensuring clarity and alignment across all phases of delivery.

Process Optimization

  • Audit and refine client onboarding workflows, reducing setup time through tools like Notion, ClickUp, and automated intake systems.
  • Create clear SOPs for CRM setups, automations, integrations, and project delivery steps to ensure repeatability and scalability.

Upwork Bidding & Business Development

  • Identify high-value opportunities on Upwork aligned with the company’s technical expertise and service offerings.
  • Write tailored, compelling proposals showcasing project understanding, technical approach, and unique value propositions.
  • Conduct client requirement analysis, prepare cost/time estimates, and manage initial discovery calls to convert leads into long-term clients.
  • Maintain strong communication with clients during the pre-sale phase, ensuring expectations and deliverables are clearly defined.
  • Track bid performance, analyze win/loss reasons, and optimize proposal strategies for higher conversion.

Technical Skills

  • CRM Mastery: Salesforce, HubSpot, Zoho (dashboards, custom objects, reports, automations).
  • Automation: Zapier, Make.com, webhooks, custom API integrations.
  • Design Collaboration: Figma, Adobe XD for reviewing and refining UI/UX deliverables.

Qualification & Requirements:

Education & Experience

  • Bachelor’s degree in Business, Computer Science, Project Management, or related field.
  • 3+ years in a project coordination/Management/client success role with exposure to web development, CRM systems, and automation tools.
  • Proven track record of managing technical projects and leading teams.
  • Basic Knowledge of GoHighLevel, HubSpot, or Zoho (configuring workflows, custom fields, reports).
  • Know-how with automation tools (Zapier, Make.com) and API integrations.

Project & Client Management

  • Experience running client meetings, translating business needs into technical specs.
  • Strong data analysis skills (Excel, Power BI) to derive insights from CRM/metrics.

Soft Skills

  • Leadership: Ability to mentor teams and resolve conflicts.
  • Communication: Explain technical concepts to non-technical stakeholders.
  • Problem-Solving: Troubleshoot automation/web issues independently.
