Location: DHA Phase 5, Khayaban-e-Shamsheer, Street No. 29, Karachi
Reporting Line: Project Manager / Construction Manager / Group Projects Head

Important Clarification:
This position is not for Aawaz TV Network or Media/Broadcasting Operations. The role is exclusively for the Construction Company, which operates as a group entity under Aawaz Television Group. All duties, responsibilities, and performance evaluations are strictly related to construction projects and office-based project coordination activities.

Job Purpose:
The Project Office Supervisor will be responsible for managing and supervising project-related office operations and documentation for construction projects. The role focuses on maintaining accurate project records, coordinating documentation processes, visiting relevant offices and authorities for approvals and submissions, and supporting project teams through efficient administrative and clerical control.

Job Description (JD)Key Responsibilities:

1. Project Documentation & Record Management

  • Maintain complete and up-to-date documentation for all assigned construction projects.
  • Prepare, organize, and file project documents including letters, approvals, drawings, BOQs, agreements, and correspondence.
  • Ensure proper control and retrieval of project records at the project office.

2. Office Coordination & Official Visits

  • Visit government offices, consultants, vendors, and internal departments for submission, collection, and follow-up of project documents.
  • Coordinate approvals, NOCs, and other construction-related documentation.
  • Act as a link between project sites, head office, and external stakeholders.

3. Project & Site Support

  • Coordinate with site engineers and project managers to collect site-related documentation.
  • Support project teams with clerical and administrative requirements.
  • Ensure timely submission of reports and documents from sites to the project office.

4. Process Monitoring & Compliance

  • Track documentation workflows, approvals, and pending actions.
  • Ensure documentation complies with internal procedures and project requirements.
  • Assist in audits, inspections, and management reviews by providing required records.

5. Reporting & Tracking

  • Maintain trackers for document status, approvals, and pending items.
  • Prepare basic progress and documentation status reports for management.
  • Highlight delays, missing documents, or compliance issues to supervisors.

6. Administrative & Clerical Responsibilities

  • Draft basic official correspondence related to construction projects.
  • Maintain meeting records, follow-up notes, and office logs.
  • Support coordination of meetings and site-office communication.

Qualifications & Experience:

  • Intermediate / Bachelor’s degree (Commerce, Arts, or relevant field).
  • Certification or diploma in office management or documentation is an advantage.
  • Minimum 2–4 years of experience in construction project offices, documentation, or site administration.
  • Familiarity with construction documentation processes preferred.

Skills & Competencies:

  • Strong documentation and organizational skills.
  • Working knowledge of MS Word, Excel, and basic reporting tools.
  • Ability to coordinate with multiple offices and project teams.
  • Attention to detail and ability to meet deadlines.
  • Willingness to travel for official and site-related documentation work.
  • Reliable, disciplined, and professional work ethic.
