Project & Operations Assistant

Position Overview

We are looking for a Project & Operations Assistant to work closely with the Project Manager and cross-functional teams. The ideal candidate will have exceptional organizational and communication skills, a proactive mindset, and the ability to manage complex workflows. This role involves supervising content production processes, coordinating between SEO and content teams, managing task flows on Monday.com, assisting with IT project administration, and generating utilization and performance reports.

This is a non-legal operational role, ideal for someone with a legal education who thrives in structured, detail-driven work environments.

Key Responsibilities

Content & Marketing Coordination

  • Supervise content writers, ensuring they meet their daily KPIs and quality standards.
  • Review and provide feedback on content to ensure accuracy, quality, and adherence to project goals.
  • Liaise with the SEO team on updates, guidelines, and strategy changes, and communicate these clearly to the content team.
  • Coordinate with content uploaders to ensure timely publishing of materials to websites.

Project Administration & Workflow Management

  • Assist the Project Manager in overseeing task progress, deadlines, and deliverables.
  • Use Monday.com to track projects, manage workflows, and ensure tasks move through all stages of the SDLC (Software Development Life Cycle).
  • Regularly check in with the IT team to monitor progress and identify any potential delays or blockers.
  • Ensure all team members complete and submit utilization forms on time.

Reporting & Performance Tracking

  • Create and maintain utilization reports, KPI dashboards, and project progress summaries.
  • Generate forecasts and projections based on utilization data and workload trends.
  • Provide the Project Manager with regular updates on content, IT, and operational performance.

Administrative Support

  • Support the Project Manager with day-to-day operational and administrative tasks.
  • Help streamline communication and collaboration across departments.
  • Assist in continuous process improvement to enhance efficiency and delivery timelines.
