Project Sales Coordinator

The company provides installation and maintenance services through a team of qualified engineers and technicians.


Role Summary:

The Project Sales Coordinator will act as a key support role in the project sales team, ensuring smooth execution of projects from quotation to delivery. The role involves close coordination with clients, contractors, internal teams, and logistics to maintain timelines, accuracy, and high-quality service throughout the project lifecycle.


Key Responsibilities


Sales Documentation & Quotation Preparation

Prepare accurate and timely sales quotations, proposals, and tender documents in line with project requirements and company guidelines.

Review technical specifications and commercial terms to ensure all submissions meet client expectations.

Support the sales team in preparing competitive offers, ensuring compliance with internal pricing, margin, and approval processes.


Material & Technical Submittals

Prepare and submit Material Submittals (such as datasheets, catalogues, and specifications for the proposed products meet project requirements, product dimensions, colours, energy ratings, compliance statements, certifications, country of origin, scope of works, schedule of materials, draft warranty letters, etc)

Technical Submittals (Such as installation manuals, test reports, performance test reports, or compliance certificates)

Prequalification Submittals to clients and consultants ( such as company profile, previous project experience, references, quality certifications, financial statements, and team CVs )

Ensure timely resubmission of revised documents when required. (2 or 3 times per project when changes occur as the consultants make comments)


Sales Order Processing & Documentation Accuracy

Process sales orders in the company ERP/CRM system and ensure all relevant details are complete and accurate.

Track delivery timelines, order confirmations, and shipment schedules.

Maintain proper documentation for audits and project records.


Project Coordination & Timeline Management

Track project progress, delivery schedules, and milestone timelines.

Coordinate with logistics, warehouse, and supply chain teams to ensure on-time product delivery for each project.

Maintain a proactive approach to anticipate delays and inform relevant stakeholders.


Client & Contractor Follow-Up

Maintain regular communication with clients and contractors to follow up on approvals, clarifications, and pending payments.

Act as the primary point of contact for project-related administrative queries.

Ensure client satisfaction by resolving issues quickly in coordination with internal teams.


Internal Coordination for Project Execution

Serve as the liaison between the sales team and internal departments (Technical, Finance, Logistics, Procurement) to ensure smooth project execution.

Provide updates to the sales team and project managers on project status, risks, and opportunities.


CRM & Database Management

Maintain and update project information in CRM systems, spreadsheets, and internal databases.

Ensure all sales and project data is current, accurate, and easily accessible for reporting purposes.


Pre-Sales & Post-Sales Support

Support the sales team with pre-sales activities such as proposal preparation, presentations, and client communications.

Provide post-sales support, including order tracking, invoicing follow-up, and resolving project issues.


Reporting & Forecasting

Prepare regular reports on project status, order tracking, and delivery schedules.

Assist in generating sales forecasts, highlighting potential risks, and opportunities for upselling or cross-selling.


Logistics Coordination

Work closely with the supply chain and logistics teams to schedule shipments, monitor delivery timelines, and track product movements.

Ensure all shipments meet project deadlines and client requirements.


Required Knowledge & Skills


  • Technical Skills:
  • Advanced knowledge of Excel (formulas, pivot tables, dashboards)
  • Advanced knowledge of PowerPoint (presentation preparation, charts, and graphics)


  • Commercial & Financial Awareness:
  • Understanding of quotations, pricing structures, and margin calculations
  • Ability to analyse commercial data to support project decision-making


  • Interpersonal Skills:
  • Strong communication skills to liaise effectively with clients, contractors, and internal teams
  • Excellent organizational skills and attention to detail
  • Ability to manage multiple projects simultaneously under tight deadlines



Qualifications & Experience

  • Bachelor’s degree in business administration, Sales, Marketing, or a related field.
  • 3–5 years of experience in sales coordination, project support, or customer service.
  • Experience in the construction, building materials, or appliances industry is preferred.
