Property Management Assistant

Location: Grants Pass, Oregon (Office-based role)

Job Type: Part-Time or Full-Time (Flexible, with potential to transition based on business needs)

Salary Range: $19 - $23 per hour (commensurate with experience; equivalent to approximately $40,000 - $48,000 annually for full-time)

Company Overview: We are a property management firm in Grants Pass, Oregon, dedicated to efficient rental operations and owner satisfaction in the Rogue Valley area. We’re seeking a detail-oriented professional to support our day-to-day financial and administrative tasks.

Job Summary

We are looking for a reliable and experienced individual to handle essential accounting, tenant relations, and operational duties in our property management office. This role involves managing financial records using Rentec Direct software, ensuring compliance with Oregon state regulations, and supporting smooth interactions with tenants and owners. The ideal candidate collaborates effectively with team members, and has hands-on experience with Rentec Direct.

Key Responsibilities

  • Record incoming rents, utility payments, and other expenses accurately in journals and Rentec Direct software.
  • Track owner payouts, calculate amounts owed to each property owner, and ensure timely disbursements.
  • Organize and maintain lease documents, verify that all tenants have active renters insurance, and follow up as needed.
  • Interact professionally with tenants in the office, addressing inquiries, concerns, and maintenance requests.
  • Organize and maintain physical and digital records for properties, tenants, and financial transactions.
  • Assist with monthly three-way reconciliations for clients’ trust accounts and security deposit accounts, ensuring compliance with Oregon Real Estate Agency requirements (e.g., reconciling bank statements, ledgers, and individual accounts within 30 days of the bank statement date).
  • Perform other administrative tasks as required to support office operations.

Required Qualifications

  • Proven experience in property management or a related administrative/accounting role.
  • Prior hands-on experience with Rentec Direct software is helpful; must demonstrate proficiency in using it for recording transactions, generating reports, and managing tenant/owner accounts.
  • Ability to work effectively in a high-stress environment, handling multiple priorities and deadlines.
  • Strong interpersonal skills with the ability to collaborate well with colleagues, tenants, and owners.
  • Familiarity with basic accounting principles, including journal entries and expense tracking.
  • High school diploma or equivalent; associate’s degree in business, accounting, or a related field preferred.
  • Must be comfortable with office-based work, including direct tenant interactions.

Preferred Skills

  • Knowledge of Oregon rental laws, including fair housing and trust account regulations.
  • Experience with three-way reconciliations or similar financial auditing processes.
  • Proficiency in Microsoft Office Suite (e.g., Excel for tracking) and general office software.
  • Strong organizational skills with attention to detail and accuracy in record-keeping.
