Purchase Coordinator cum Secretary

We are seeking a professional, well-organized, and proactive Purchase Coordinator cum Secretary to support our procurement and administrative operations. The selected candidate will be responsible for coordinating purchase activities, communicating with suppliers, preparing procurement documents, tracking orders, and providing secretarial support to management. The ideal candidate should have strong organizational skills, attention to detail, and the ability to manage multiple responsibilities efficiently.

Key Responsibilities:

  • Prepare purchase orders, request quotations, and follow up with suppliers
  • Coordinate with suppliers regarding pricing, delivery schedules, product availability, and order status
  • Follow up on pending deliveries and coordinate with internal departments to ensure timely receipt of goods
  • Prepare reports related to purchasing activities, pending orders, and supplier performance
  • Provide secretarial and administrative support to management
  • Manage emails, phone calls, filing systems, and business correspondence
  • Prepare letters, reports, memos, and other official documents

Requirements:

  • Bachelor’s degree in Business Administration, Procurement, Supply Chain, or a related field
  • Proven experience in purchasing, procurement coordination, administration, or secretarial work
  • Good knowledge of procurement procedures and documentation
  • Proficiency in Microsoft Office applications, especially Excel, Word, and Outlook
  • Experience with ERP systems such as Odoo similar is an advantage
  • Strong communication, coordination, and organizational skills
  • Ability to multitask, work under pressure, and meet deadlines
  • High level of accuracy, professionalism, and confidentiality

Preferred Qualifications:

  • Knowledge of import/export documentation is an added advantage
