Job Description – Purchase Executive
Position: Purchase Executive
Reporting To: Regional Head
Department: Procurement / Purchase
Role Overview:
The Purchase Executive will be responsible for sourcing, negotiating, and procuring materials and services essential for the company’s operations. The role requires maintaining vendor relationships, ensuring timely supply of quality goods, managing inventory levels, and supporting cost optimization initiatives.
Key Responsibilities:
1. Vendor & Supplier Management
- Identify, evaluate, and select reliable vendors based on price, quality, and delivery timelines.
- Build and maintain long-term, trustworthy relationships with suppliers.
- Monitor and assess supplier performance on a regular basis.
2. Purchasing & Procurement
- Process and manage purchase orders in line with company requirements.
- Negotiate contracts, pricing, and delivery terms to secure favorable conditions.
- Conduct market research to identify competitive pricing and new sourcing opportunities.
- Ensure timely delivery of goods as per purchase agreements.
3. Inventory & Warehouse Coordination
- Monitor stock levels and coordinate with warehouse staff to ensure proper storage and handling.
- Verify and review incoming shipments against purchase orders.
- Maintain accurate inventory records to avoid shortages or overstocking.
4. Quality & Compliance
- Ensure purchased materials meet company quality standards.
- Resolve discrepancies, damages, or issues with supplier deliveries.
- Ensure compliance with company policies and industry regulations.
5. Reporting & Analysis
- Maintain and update purchase records, supplier details, and pricing data.
- Prepare regular reports on purchases, costs, and supplier performance.
- Support management in identifying cost-saving opportunities.
6. Collaboration & Communication
- Work closely with internal departments to understand and fulfill material requirements.
- Liaise with warehouse, logistics, and operations teams to ensure smooth product flow.
Skills & Qualifications:
- Bachelor’s degree in Commerce, Supply Chain, Business Administration, or related field.
- 2–4 years of experience in procurement/purchase operations (preferably in pharma/healthcare sector).
- Strong negotiation, communication, and vendor management skills.
- Proficiency in MS Office and ERP systems.
- Knowledge of supply chain and inventory management principles.
- Attention to detail, organizational ability, and problem-solving mindset.
