The Purchase Executive will be responsible for managing procurement activities related to shipping operations, ensuring timely availability of materials, services, and spares at competitive prices while maintaining quality standards. The role requires coordination with vendors, internal teams, ports, and vessel operations.
Procurement & Vendor Management
- Source, negotiate, and purchase materials, spares, equipment, and services required for shipping operations.
- Develop and maintain a reliable vendor base for marine supplies, port services, logistics, and maintenance.
- Obtain quotations, compare prices, and finalize purchase orders in line with company policies.
- Ensure timely delivery of purchased items to vessels, ports, or warehouses.
Operations Coordination
- Coordinate with vessel operations, technical teams, and port agents for procurement requirements.
- Handle urgent and emergency purchases for vessels and port operations.
- Track order status and ensure on-time delivery to avoid operational delays.
Cost Control & Compliance
- Negotiate best prices, payment terms, and delivery schedules to optimize costs.
- Ensure purchases comply with company policies, safety standards, and maritime regulations.
- Maintain accurate purchase records, invoices, and documentation.
Inventory & Documentation
- Monitor inventory levels and plan purchases accordingly.
- Maintain purchase registers, vendor records, and contract documentation.
- Assist in audits and provide procurement-related reports as required.
Relationship Management
- Build strong relationships with suppliers, port authorities, and service providers.
- Resolve vendor-related issues such as delays, quality concerns, or billing discrepancies.
Required Skills & Qualification's Education
- Bachelor’s degree in supply chain management, Logistics, Business Administration, or related field.
Experience
- 2–5 years of procurement experience, preferably in shipping, logistics, marine, or port operations.
Skills
- Strong negotiation and vendor management skills.
- Knowledge of marine procurement, vessel supplies, or port services is an advantage.
- Good understanding of shipping operations and logistics processes.
- Proficiency in MS Excel, ERP systems, and procurement software.
- Strong communication and coordination skills.
- Ability to handle pressure and urgent procurement requirements.
