Job Title: Purchase Executive
Experience: 3 to 5 Years

Job Summary
The Purchase Executive will be responsible for end-to-end procurement activities for construction projects, including sourcing, vendor management, purchase order execution, coordination with site and finance teams, and ensuring cost-effective, timely procurement in line with project budgets and timelines.
Key Responsibilities
1. Procurement & Vendor Management
- Source and procure construction materials, MEP items, equipment, and subcontract services as per project requirements
- Prepare and float RFQs/RFPs and obtain competitive quotations
- Perform techno-commercial evaluations and prepare comparative statements
- Negotiate prices, delivery schedules, payment terms, and commercial conditions
- Prepare, issue, and track Purchase Orders (POs) / Work Orders (WOs)
- Follow up on deliveries and coordinate with site and operations teams
- Maintain vendor master data and procurement documentation
- Develop, evaluate, and maintain an approved vendor list
- Identify and onboard new vendors based on quality, cost, delivery, and compliance
- Coordinate with Engineering and QA/QC teams for technical approvals
- Finalize vendors in line with project budgets and timelines
2. Accounting & Finance Coordination
- Verify supplier invoices against PO, GRN, and contract terms
- Coordinate with site and store teams for GRN and material receipt confirmation
- Post purchase entries, expenses, and vendor bills in ERP/accounting systems
- Support Accounts Payable activities including payment tracking and vendor reconciliation
- Assist in GST compliance: invoice checking, classification, and documentation
- Maintain procurement records for audits and statutory compliance
- Coordinate with finance teams for invoice verification, GRN, and payment processing
3. Purchase Order & Contract Management
- Prepare and issue POs/WOs with clear scope, specifications, and commercial terms
- Ensure compliance with contract terms, taxes, payment conditions, and statutory requirements
- Track order status, delivery schedules, and follow up with suppliers
4. Project Coordination
- Coordinate with site and project teams to understand material requirements
- Ensure timely delivery to avoid project delays
- Handle urgent procurement, material substitutions, and shortages
Key Skills & Competencies
- Strong knowledge of construction materials, specifications, and standards
- Expertise in vendor negotiation and cost analysis
- Ability to prepare comparative statements and procurement MIS
- Experience working with ERP systems (SAP, Oracle, or similar)
- Strong coordination, communication, and follow-up skills
- High attention to detail and documentation accuracy
Preferred Experience (Must)
- Experience in construction, Infrastructure, or EPC sectors only
- Exposure to inventory control and store accounting
- Experience handling audits and vendor reconciliations
- Strong Excel skills (comparatives, MIS, reconciliations)
- Understanding of contract terms and conditions
Qualifications
- Bachelors Degree in Engineering / Commerce / Accounting / Business Administration
- 3 to 5 years of relevant experience in procurement and accounting-related roles
