Job Summary:
Overview:
A well-structured and efficient purchasing process for furnishings is vital to the success of our well established and award winning commercial interior design projects. This position is key in managing various non-design-related functions and calls for a highly professional, organized and detail-oriented individual to work with our dedicated and talented team. Below, you'll find the essential responsibilities of the Purchasing Accounting Coordinator, who plays a pivotal role in our team’s achievements.
Core Responsibilities:
· Purchases all approved furniture, wall coverings, decorative lighting, and accessories for a wide variety of interior design projects. Effectively utilize our purchasing software system to enter and track orders.
· Collaborates with the interior design team to ensure furniture and other items for the project meet high-quality standards and are delivered within a reasonable timeframe to fulfill project commitments.
· Communicate and build professional relationships with suppliers, manufacturer reps, and subcontractors regarding specifications, ordering, warehousing, and deliveries consistent with project installation dates.
· Prepares purchase orders and ensures merchandise orders, tracks merchandise receipts, and maintains spreadsheets.
· Maintains regular communication with the warehouse team regarding order status and delivery. Stays involved with the project from ordering all the way to site installations, working with the design team to produce a beautiful, finished project.
· Enters and tracks accounts payable and credit card purchases per project assignment.
· Maintains vendor and client files with accurate and up-to-date information. Establish new vendor accounts, complete credit applications, and yearly resale certificates for vendors. Coordinate W-9 and subcontractor insurance follow-up.
· Provides administrative support to the interior design team and office manager, including answering and directing phone calls, greeting clients, scheduling conference rooms, and general upkeep and management of the office, and receiving samples and deliveries.
· Complete all paperwork, time sheets, and other company requirements in a timely and professional manner.
Job Type: Full-time
Pay: $48,000.00 - $55,500.00 per year
