Job Summary
We are seeking a highly organized and detail-oriented Purchasing & Distribution Administrative Assistant to support our production and operations team. This key position will assist with inventory control, purchasing, cost analysis, order management, and production reporting.
Responsibilities:
- Inventory Control: Maintain accurate inventory records for raw materials, packaging, and finished goods through cycle counts, reconciliations, and database updates.
- Demand Planning: Monitor production schedules and forecast materials to avoid shortages and delays.
- Cost Analysis: Calculate labor and material costs for new product developments and process changes to assist in pricing and budgeting.
- Functional Metrics: Track and analyze data related to material usage and production efficiency.
- Material Flow Tracking: Review technical specifications and monitor incoming/outgoing raw materials to reduce waste and optimize yield.
- Product Labeling: Create and maintain accurate product labels and ensure all data is entered correctly in inventory and production systems.
- Reporting: Generate and present regular reports on inventory levels, purchasing trends, and production statistics.
- Process Improvement: Recommend and implement improvements in inventory, purchasing, and production procedures.
- Order Management: Enter customer orders in QuickBooks, coordinate outbound deliveries, generate invoices, and manage customer service issues.
- Communication: Keep production and relevant teams informed of order changes, shortages, and delivery delays.
- Purchasing: Order raw materials, packaging, and PPE; track expenses in QuickBooks; verify invoices and submit to accounting.
- Shipping Coordination: Prepare shipping documents and coordinate schedules with suppliers and logistics providers.
Qualifications:
- Previous administrative experience in a manufacturing or production environment preferred
- Strong knowledge of inventory systems and purchasing processes
- Proficiency in QuickBooks and Microsoft Office (Excel, Word, Outlook)
- Excellent communication and organizational skills
- Strong attention to detail and problem-solving ability
- Ability to prioritize and manage multiple tasks in a fast-paced setting
- High school diploma or equivalent required;
