Job Summary To maintain the daily operations and functions of the food, beverage, and general storerooms while ensuring accurate inventory control, proper storage procedures, and timely distribution of goods. This role is committed to providing our Culinary, Food & Beverage and other Club departments with the highest level of quality and support. The Purchasing Manager is expected to anticipate needs, respond promptly to requests, and deliver products efficiently and professionally to support seamless Club operations.
Duties/Responsibilities:
Develop profitable purchasing strategies
Prepare and implement negotiation tactics
Purchase standard menu items, non-alcoholic beverages, liquor, and wine
Ensure proper and timely delivery of invoices to the Accounting Department
Schedule and track purchases, invoice coding, and daily inventory par levels
Oversee monthly inventory and report to the accounting department
Brief the Food and Beverage Director and Executive Chef on product and labor costs
Maintain cleanliness and proper storage procedures exceeding state health code standards
Process purchase requisitions from authorized personnel
Assist in the selection and evaluation of supplies
Assists in developing purchasing policies and procedures
Develop purchase specifications and perform make/buy quality evaluations
Maintain current files of suppliers, stock lists, catalogs, and price sheets
Gather information about market conditions and material availability
Monitor purchase orders to ensure correct and complete deliveries
Expedite the purchase of needed products
Track daily par levels on products as set by the Executive Chef.

Work with personnel to determine proper quality and purchase quantities
Interact with vendor personnel regarding shortages & price changes
Minimize losses from product or supply pilferage, spoilage, or obsolescence
Utilize procedures to minimize operating costs for purchase and storage of all products
Work with suppliers to solve supply and delivery problems in the moment.
Identify new products, materials, and processes potentially useful to the club.
Create and keep current order guides for all purveyors.
Update inventory sheets weekly.
Maintains organization/presentation of storage spaces & coolers.
Actively stores inventory upon arrival.
Distributes deliveries to proper departments.
Completes other duties as assigned
Requirements
Excellent verbal and written communication skills.
Excellent interpersonal and customer service skills.
Proficient in Microsoft Office Suite or related software.
Excellent organizational skills and attention to detail.
Basic understanding of clerical procedures and systems such as recordkeeping and filing.
Ability to work independently.
Some nights, weekends, and holiday hours as needed based on business tempo and events.
Active Serve Safe Certification
Physical Requirements
Prolonged periods sitting at a desk and working on a computer.
Ability to stand or walk for long periods and repetitively walk, climb stairs, stoop, kneel, crouch, bend, stretch, twist, reach, balance.
Must be able to lift up to 75 pounds at times.
Reporting Relationship & Position Classification
The Purchasing Manager directly reports to the Executive Chef and is part of the Culinary Management team. The Purchasing Manager will also be required to initiate projects requested by Clubhouse Management.
This is a full-time position with a five-day work week. The assigned hours to this position may vary according to scheduled functions and include working on holidays and weekends.
