Purchasing Officer

Job Title: Purchasing Officer – Coffee Beans & F&B Supplies

Position Summary:
We are seeking a proactive and detail-oriented Purchasing Officer to manage sourcing, procurement, and logistics of coffee beans, cafe materials, and related F&B supplies. The role involves supplier coordination, shipment follow-ups, cost management, and ensuring timely delivery to support smooth coffee shop operations and supply chain for our associated companies.

Key Responsibilities:

1. Procurement & Sourcing

  • Identify and evaluate local and international suppliers of coffee beans, ingredients, and cafe materials.
  • Request quotations, compare prices, quality, and delivery timelines.
  • Negotiate contracts, pricing, and payment terms with suppliers.
  • Place purchase orders (POs) and follow up for timely approvals.

2. Vendor & Supplier Management

  • Build and maintain strong relationships with coffee bean exporters, roasters, and other suppliers.
  • Monitor supplier performance regarding quality, reliability, pricing, and shipment timelines.
  • Resolve issues related to delays, shortages, or quality concerns.
  • Identify backup suppliers for critical items to prevent disruptions.

3. Shipping & Logistics Coordination

  • Coordinate with suppliers, shipping agents, and customs for timely delivery of imported coffee beans and materials.
  • Track shipments, manage documentation, and ensure compliance with import regulations.
  • Work closely with warehouse and operations teams to ensure smooth receiving and storage of goods.

4. Cost Control & Budgeting

  • Ensure all purchases align with approved budgets.
  • Identify cost-saving opportunities while maintaining product quality.
  • Prepare cost comparison and procurement reports for management.

5. Inventory Coordination

  • Monitor stock levels of coffee beans, ingredients, and cafe materials.
  • Ensure timely replenishment to avoid shortages and overstocking.
  • Support operational teams in planning inventory for all coffee shops and related outlets.

6. Documentation & Compliance

  • Maintain accurate procurement records, shipping documents, and supplier contracts.
  • Ensure compliance with company procurement policies and relevant import/export regulations.
  • Prepare monthly procurement and shipment reports and assist during audits.

Qualifications:

  • Bachelor’s degree in Business Administration, Supply Chain, or related field.
  • 2–5 years of experience in procurement or purchasing, preferably in F&B, coffee, or import/export operations.
  • Strong negotiation, analytical, and communication skills.
  • Proficiency in Microsoft Excel and ERP systems.
  • Knowledge of shipping logistics, customs clearance, and supplier coordination.

Job Type: Full-time

Pay: Up to QAR5,000.00 per month
