To support increasing demand for general ledger processing, the firm is expanding its QuickBooks data processing team. This position is designed for individuals who demonstrate strong aptitude in QuickBooks and accounting fundamentals and who are capable of working independently once trained.

POSITION OVERVIEW

Keystone Family Office seeks a QuickBooks Data Processor to support bookkeeping and general ledger processing for small-business clients.

The position begins with 2–3 weeks of structured in-office training in Newark, Delaware, where candidates will learn the firm’s bookkeeping standards, workflow procedures, and software systems.

At the end of training, candidates must pass a QuickBooks competency test demonstrating the ability to process general ledger transactions accurately.

Candidates who successfully complete training and pass the test will transition to remote work, processing bookkeeping projects independently through the firm’s workflow system.

TRAINING PHASE (IN-OFFICE)

Duration: Approximately 2–3 weeks
Compensation: $25 per hour

Training includes:

  • QuickBooks Online ledger processing standards
  • Data entry procedures for bank and credit card transactions
  • Chart-of-accounts structure and coding
  • Supporting documentation review
  • Use of firm workflow systems including TaxDome
  • Internal quality control procedures
  • Client confidentiality and data protection standards

The objective of training is to prepare the candidate to independently process general ledger work for small business clients.

POST-TRAINING ROLE (REMOTE WORK)

After successfully passing the QuickBooks competency test, the employee transitions to remote project-based work.

Key elements of the role include:

  • Processing bank and credit card transactions in QuickBooks Online
  • Maintaining organized and accurate general ledgers
  • Categorizing transactions according to established accounting standards
  • Reconciling accounts when required
  • Uploading completed work to the client project within TaxDome
  • Maintaining documentation and audit trail of work performed

WORKFLOW STRUCTURE

Work assignments are issued through the firm’s TaxDome workflow system.

Each project includes:

  • Defined scope of bookkeeping work
  • Assigned due date
  • Gross fee value for the project
  • Instructions and supporting documents

Processors may work on their own schedule, provided all assigned projects are completed by the posted due date.

Completed work is reviewed by the firm prior to final posting to the client account.

COMPENSATION STRUCTURE

Training Period:
$25 per hour during the initial training phase.

Remote Production Phase:
Compensation is based on a percentage of the gross fee for each completed project.

Payment is issued after:

  • Work is submitted in TaxDome
  • Quality review is completed
  • The project is posted to the client account

High-quality and efficient processors can earn significantly more than hourly compensation through the project-based model.

REQUIRED QUALIFICATIONS

QuickBooks Experience

  • Practical experience using QuickBooks Online or QuickBooks Desktop
  • Understanding of general ledger transaction coding

Accounting Knowledge

  • Basic understanding of bookkeeping principles
  • Familiarity with bank feeds, expenses, deposits, and chart of accounts

Technical Skills

  • Ability to work comfortably with cloud software
  • Competence using Microsoft Excel and standard office applications

Attention to Detail

  • High level of accuracy in financial data processing

Professional Reliability

  • Ability to meet deadlines consistently
  • Ability to work independently without supervision once trained

Confidentiality

  • Capability to handle sensitive financial information with strict discretion

PREFERRED QUALIFICATIONS

  • Prior bookkeeping or accounting firm experience
  • QuickBooks certification
  • Experience processing multiple client general ledgers
  • Experience with workflow software or project management systems
