ROLE OVERVIEW:
The Real Estate Admin plays a pivotal role in supporting the brokerage’s operational and sales activities. This position requires an individual with strong organizational skills, attention to detail, and the ability to manage multiple priorities in a fast-paced environment.
The Admin ensures that property listings, client interactions, and documentation are handled accurately and efficiently while supporting the sales team and management with their operational requirements.
KEY RESPONSIBILITIES:
Property & Listings Management -
- Upload, update, and maintain property listings across all major real estate portals (Property Finder, etc.).
- Ensure property details, Trakheesi permit, descriptions, and images are accurate and compliant with company standards.
- Coordinate with agents and photographers for updated content and property media.
- Supporting agents to achieve their Super Agent status and help in maintaining the Super Agent status.
- Duplicating listings every month.
- Upgrading the listing to be above the par standards.
Documentation & Compliance -
- Draft, review, and manage Contract A, B, F and I (Agent to agent), tenancy contracts, addendums, NOCs, and other related legal documents.
- Ensure all documentation complies with RERA/Trakheesi and Dubai Land Department regulations.
- Maintain accurate filing systems (both digital for listings and hard copy for developers) for contracts, agreements, and property records.
- In charge of RERA registration and renewals for both exams and cards.
- Assisting for RERA examination.
Client & Agent Support -
- First contact person for developers.
- Handle inbound calls for shareholders, emails, and client inquiries in a professional manner.
- Assist agents with administrative tasks.
- Provide property breakdown fees.
CRM & Data Management -
- Update and maintain the company’s CRM system with leads, listings, deals.
- Generate weekly reports for management on leads, performance, and inventory.
- Ensure data accuracy and confidentiality across all platforms.
Office Administration & Shareholders Support -
- Provide administrative support and proper documentation including personal property listings of CEO.
- Handle queries of personal property listings of CEO.
- Support Conveyancer in administrative tasks.
Real Estate Market Research -
- Monitor trends in the Dubai real estate market for price changes and community popularity shifts.
QUALIFICATIONS & REQUIREMENTS:
- Minimum 2 years’ experience in a Real Estate Admin or similar role (UAE experience preferred).
- Strong knowledge of RERA/Trakheesi systems, Dubai real estate portals, and industry practices.
- Proficiency in MS Office/Google Workspace and CRM software.
- Excellent written and verbal communication skills in English.
- Strong organizational skills with attention to detail and the ability to multitask.
- Professional, proactive, and a team player with strong problem-solving skills.
