Real Estate Administrative Assistant

We are a leading real estate company specializing in property management, sales, and leasing. We are committed to delivering exceptional service and support to our clients. We are currently seeking a highly motivated and experienced Administrative Assistant to join our dynamic team.

Job Description:

We are currently seeking for an Administrative Assistant with expertise in Contracts A, B, F, and Ejari and a strong skill set in communication, negotiation, and customer service. The ideal candidate will be highly literate with PC applications and site portals, and possess excellent English language skills.

Key Responsibilities:

  • Welcome guests and visitors
  • Prepare and manage Ejari contracts and related documentation.
  • Will handle administrative work for the Real Estate Sales Team, including handling phone calls, emails, broadcast messages, follow ups, and correspondence.
  • Maintain and update property listings on various site portals.
  • Will handle preparation of lease agreements, sales contracts, and other legal documents.
  • Coordinate and schedule property viewings, inspections, and meetings.
  • Handle client inquiries and provide exceptional customer service.
  • Maintain organized and accurate records of all transactions and communications.
  • Support the team with general office duties and other tasks as required.

Requirements:

  • Proven experience as an Administrative Assistant in Dubai Real Estate industry, with high level of knowledge in UAE government portals and sites such as DLD (Ejari, RERA, etc.), Dubai Municipality, Trakhees, Nakheel, etc.
  • Proficiency in preparing and managing contracts A, B, F, and Ejari (new, renewal, modifications)
  • Basic Accounting skills (payments, cheques collection and deposits, etc.)
  • Strong communication and negotiation skills.
  • Moving in/out procedures, Handover for purchased units
  • Highly literate with PC applications (e.g., Microsoft Office Suite) and site portals (e.g., property listing websites).
  • Excellent English language skills, both written and verbal.
  • Exceptional customer service skills with a professional and courteous demeanor.
  • Strong organizational skills and attention to detail.
  • Ability to multitask and prioritize tasks effectively.
  • High level of discretion and confidentiality.
