Reception cum Office Assistant

Job Summary:

We are looking for a responsible and well-organized Reception cum Office Assistant to manage front desk operations and provide administrative support to ensure smooth day-to-day office functioning.

Key Responsibilities:1. Front Desk & Reception Duties

  • Welcome and greet visitors, clients, and guests in a polite and professional manner.
  • Direct visitors to the appropriate department or staff member.
  • Answer, screen, and forward incoming phone calls.
  • Maintain visitor records and entry/exit register.

2. Daily Reception Counter Tasks

  • Handle inward and outward documentation.
  • Maintain records of documents received and dispatched.
  • Verify documents before submission or dispatch.
  • Release cheques and official documents after proper verification and authorization.
  • Maintain proper filing system for easy retrieval of documents.

3. Administrative Support

  • Assist in general office administrative tasks.
  • Maintain office supplies and stationery inventory.
  • Support staff with photocopying, scanning, and printing documents.
  • Coordinate courier services and track deliveries.

4. Documentation & Verification

  • Maintain cheque issue/receipt records.
  • Ensure proper signatory verification before releasing documents.
  • Keep accurate records of inward and outward correspondence.
  • Maintain confidentiality of company documents.

5. Hospitality & Office Support

  • Serve tea, coffee, and refreshments to staff and guests.
  • Ensure reception and waiting area is clean and organized.
  • Assist in arranging meeting rooms for official meetings.
