Reception Support Specialist

Job Summary

We are seeking a dependable and professional receptionist with an administrative skills to support daily office operations and serve as the first point of contact for visitors, special needs members, staff, and stakeholders. This role helps maintain a welcoming, organized, and efficient environment while assisting with a variety of administrative and operational tasks.

Schedule: Full-time, Monday–Friday, 7:45 a.m. to 4:00 p.m.

Key responsibilities include but are not limited to:

  • Greet visitors and staff; manage front desk operations
  • Answer and route calls; take accurate messages
  • Maintain logs, records, and basic documentation
  • Provide administrative support (filing, scanning, data entry, tracking)
  • Assist with staff files, basic payroll support, and compliance documentation
  • Support monitoring/audit preparation and organization of records
  • Handle confidential information professionally
  • Follow all policies and procedures
  • Perform other duties as assigned by management

Qualifications & Professional Expectations

  • High School Diploma or GED required
  • Prior administrative, receptionist, or office support experience preferred
  • Proficiency in basic computer systems (Microsoft Office, especially Excel, email, and data entry systems)
  • Strong organizational skills with the ability to manage multiple tasks in a fast-paced environment
  • Excellent written and verbal communication skills
  • Ability to handle confidential information with professionalism and discretion
  • Maintain a positive, professional demeanor at all times
  • Demonstrate reliability, accountability, and attention to detail
  • Ability to build collaborative relationships with staff, visitors, and team members
  • Remain focused, attentive, and engaged during work hours

Requirements

  • Valid Arizona driver’s license with acceptable driving record
  • Ability to obtain a Fingerprint Clearance Card
  • Ability to complete required trainings (CPR/First Aid, Article 9, and other applicable certifications)
  • Ability to meet all state and federal training and compliance requirements
  • Ability to lift, carry, push, or move items as needed (up to approximately 75 lbs occasionally)
