Job Overview:
We are seeking a highly organized and professional Receptionist to join our team. As the first point of contact for our company, you will play a crucial role in providing excellent customer service and creating a positive impression for our visitors and clients. The ideal candidate will have strong communication skills, exceptional attention to detail, and the ability to multitask effectively.
Duties:
- Greet and welcome visitors in a friendly and professional manner
- Answer phone calls, take messages, and direct calls to appropriate individuals
- Manage the reception area, ensuring it is clean and organized
- Schedule appointments and maintain calendars for staff members
- Assist with administrative tasks such as filing, data entry, and document preparation
- Handle incoming and outgoing mail and packages
- Coordinate meetings and events, including room reservations and catering arrangements
- Provide general administrative support to staff as needed
- Maintain HIPAA Compliance at all times
Experience:
- Previous experience as a Medical Receptionist or in a similar role is preferred
- Strong organizational skills with the ability to prioritize tasks effectively
- Excellent written and verbal communication skills
- Proficient in using Google Suite or similar office software
- Experience with proofreading documents for accuracy and clarity
- Familiarity with calendar management tools for scheduling appointments
- Knowledge of event planning processes is a plus
Skills:
- Personal assistant skills to provide support to staff members as needed
- Ability to transcribe information accurately and efficiently
- Proficient in computerized systems for managing appointments and records
- Strong attention to detail to ensure accuracy in all tasks performed
- Excellent phone etiquette with the ability to handle inquiries professionally
