Duties
- Greet visitors, clients, and vendors with professionalism and warmth, ensuring they feel valued from the moment they arrive
- Manage multi-line phone systems, screen calls, and direct inquiries efficiently using proper phone etiquette
- Handle incoming and outgoing correspondence, including emails, mail, and packages with accuracy and timeliness
- Maintain organized filing systems, perform data entry, and proofread documents for clarity and correctness
- Support office management tasks such as calendar management, appointment scheduling, and coordinating meetings
- Utilize computer skills across Microsoft Office Suite, Google Workspace, QuickBooks, and other relevant software to support daily operations
- Assist with clerical tasks including filing, photocopying, proofreading documents, and managing office supplies
Skills
- Proven experience in office administration or receptionist roles with strong clerical skills
- Excellent customer service abilities with a friendly demeanor and professional phone etiquette
- Proficiency in computer literacy including Microsoft Office (Word, Excel), Google Workspace (Gmail, Calendar), and data entry tools
- Familiarity with multi-line phone systems and office management software such as QuickBooks is highly desirable
- Bilingual skills are a plus for serving diverse client needs effectively
- Strong organizational skills with the ability to prioritize tasks efficiently in a fast-paced environment
- Experience in medical or dental receptionist roles is advantageous but not required; familiarity with appointment scheduling and insurance processing is beneficial
