Duties

  • Greet visitors, clients, and vendors with professionalism and warmth, ensuring they feel valued from the moment they arrive
  • Manage multi-line phone systems, screen calls, and direct inquiries efficiently using proper phone etiquette
  • Handle incoming and outgoing correspondence, including emails, mail, and packages with accuracy and timeliness
  • Maintain organized filing systems, perform data entry, and proofread documents for clarity and correctness
  • Support office management tasks such as calendar management, appointment scheduling, and coordinating meetings
  • Utilize computer skills across Microsoft Office Suite, Google Workspace, QuickBooks, and other relevant software to support daily operations
  • Assist with clerical tasks including filing, photocopying, proofreading documents, and managing office supplies

Skills

  • Proven experience in office administration or receptionist roles with strong clerical skills
  • Excellent customer service abilities with a friendly demeanor and professional phone etiquette
  • Proficiency in computer literacy including Microsoft Office (Word, Excel), Google Workspace (Gmail, Calendar), and data entry tools
  • Familiarity with multi-line phone systems and office management software such as QuickBooks is highly desirable
  • Bilingual skills are a plus for serving diverse client needs effectively
  • Strong organizational skills with the ability to prioritize tasks efficiently in a fast-paced environment
  • Experience in medical or dental receptionist roles is advantageous but not required; familiarity with appointment scheduling and insurance processing is beneficial
  • Personal assistant experience or calendar management skills enhance your ability to support team members effectively
